z report does not show voucher sales

Hi All 

There is a major issue with the Z report in Rms that we have encountered

 

 In summary if you sell vouchers, or use vouchers your z report at the end of a day will not balance. 

 

I have seen the article on using vouchers on partner source and how Rms accounts for them wrongly and the so called work around however this makes no difference to the POS z report at the end of the day. 

 

We have two customers who are using this and are having issue at the end of day. 

Basically

  1. You sell some vouchers
  2. They do not appear in your daily sales figures 
  3. The do appear in your cash tendered
  4. Ultimate result is cash tendered up sales down

Example

 

1 sell $50 worth of vouchers and take customer cash

2 daily sales do not reflect this sale but cash take is up $50. 

 

We are now receiving complaints that the z report is useless for balancing at the end of the day and that staff theft could be increased because of this. 

 

We have tried to modify the z report to show the vouchers sold like the deposit taken on a layaway but there is no way of doing this.. 

 

Also, now that the feature pack has been released with global vouchers, the store manager cannot get a report out of his local store operations to tell him what vouchers he has sold… This only exists at HQ, this is no good for a local manager who wants to ascertain his voucher balances etcor what his staff has sold for things like bonuses etc,  as the voucher is not treated like an item in any way. 

 

basically the z report will never balance at the end of a day if you are using vouchers and the only thing you can do is keep a little note book of the vouchers you sell so you can either deduct or add this to your figures to balance at the end of  the day... seems to defeat the z report

 

Thanks for your help with this and any advice with what else could be done... 

 

ps no custom receipts offer this either

    Hi

    I got curious on this issue and so i tried it. As I go through, I found out that the Voucher has its on row on the Z Report. I am using RMS 2.0155 which is the SP4 hot fix and the default XML for XReport (reselect the xreport template). There is no customization on the said report.

    So I guess, this issue may be resolve. For the voucher report, you can view it on SO Manager Reports > Miscellaneous > Voucher (Summarized or Detailed).

    Ah, but gift certificate vouchers are non-taxable items. Every state has them. (Heck, in NJ, all clothing is non-taxable)

    As such, the retailer does not collect sales tax on them and does not need to report them to the state.

    I understand where you're coming from, Ed, and I agree that it makes sound accounting sense for a voucher (which is basically a liability owed to the customer in exchange for cash given at the time of purchase) to not be considered a sale.

    However, I've tried explaining that to the mom-and-pop retailers I work with, and all they see is that they collected $50 cash for something, they have $50 cash in thier drawer, but that $50 doesn't show up as a sale on thier reports.

    It would have been better if there was an option to include gift certificates on the sales report in RMS, but exclude them from sales when/if the GL is exported from RMS into GP, QuickBooks, etc.

    As it is, I'm probably going to have to write custom sales reports for my customers to get around this shortcoming, spending more time on this workaround than I should.

    I'm also going to have second thoughts about installing RMS SP4 at any clients who are using gift certificates, which is quite a few. I will probably recommend that they stay with SP3 for as long as possible, and hope that this is fixed in SP5 (whenever that may be)

    Maybe some accounting practices can help shed some light on the subject.  Vouchers aren't sold.  They are specials items called deposits.  Deposits should never count towards sales becuase the money just sits there until the customer uses it.  

    So you receipts (money collected) should be off if you are selling vouchers (gift cards/certificates).

    If the vouchers were counted towards sales then you would have to report them as such with you file taxes and then again when they are used, which means you would pay taxes twice on them.  Instead they are accounted as deposits which do not get taxed and dont count towards gross sales and therefore you dont pay taxes on them twice.

    SO: Sales + Deposits (vouchers) = Receipts. This is of course a simplify equation, which in reality is very complex.

    Yes, I've done that (reselecting receipt format and running Z report)

    If it happened once or twice, I could understand, but this has been happening for weeks, and at one client, for months. I know for certain we've done Z reports, because I've done them myself.

    These aren't custom receipts, either. They are the standard receipt templates that ship with RMS out of the box.

    That still doesn't explain why the sale of a gift certificate doesn't show up on my daily sales report.

    Did you guys follow the instructions that one needs to reselect the receipt template and z-out after installing the FP?

     

    None of the receipt/z-report templates on Customer/PartnerSource have been updated either.  If you have any custom receipts, they need to be modified using the new receipt format as a guide.

    This is still an issue with SP4, even with the May refresh.

    I have several clients who I recently brought up to the latest feature pack and service pack, and every one is seeing this issue. It causes them a lot of problems when they are trying to do their end-of-day register close, and it throws off their sales figures. Even though the gift certificates are in a separate department, they cannot see any sales for that Gift Certificate department.

    My biggest client wants to upgrade from SP2 to SP4, and I'm telling them not to because of this issue. I understand the accounting reason why Microsoft did this, but my store managers don't care about that; they just want to see what was sold that day, and sellng a $50 gift cert still counts as a sale, especially when they are trying to push those items as add-ons to a merchandise sale.,

    Sorry I don't have an answer for you, Campbell, but you are by no means alone in your problem.
