Good day,

I tried setting up an email account in BC for a user whose role is 'Purchasing Agent'. It did not go through said no access, what is required for this to be successful.

Hi Rosemary, it depends on what kind of email account you setup.

If it's a shared inbox you need to make sure it was setup correctly in the M365 portal. You can review the best practices here: Payables Agent overview (preview) - Business Central | Microsoft Learn

For the Payables agent you shouldn't need a user, just a shared mailbox or separate independant inbox:

Good day,

The Purchasing Agent role is assigned to the Purchasing Manger, so it's the user email I want to use. I set up a user email on another user with the Accountant role so what's missing from the Purchasing Agent's role?

And how do I add to that role, thanks.

If you assign it to a specific user you want to make sure they have permissions for the payables agent, e-documents and emailing. You may have to experiment with a few different permissions, i'd start with the ones below in my screenshot:

I wouldn't always advise using the current user and a specific user as it will monitor every single email they receive and try to process it as an Agent Task. The list of tasks can quickly become full of random emails not associated with purchasing/payables activity.

It is recommended to use a superuser account to configure this to avoid permission issues.

I agree with above experts but i want to add my testing experience.

As per my testing wrt Sales Order Agent and Purchase Order Agent , I would recommend to use Email Account only for getting orders . Becuase Every mail is read by the agent and credits will be consumed and Orders will not be generated in system due to mismatch and other errors .

Keep a dedicated email account only for recieving mail information on Orders, invoices

Sales Account for Sales Order Agent

Purchase account for Payables Agent

Hello Rosemary,

The Purchasing Agent role is usually not enough to set up email accounts in Business Central; email setup is normally an admin/configuration task, so the user needs proper permissions to access Email Accounts / Assisted Setup / Email Scenarios, or an admin can set it up for them. In simple terms: either ask a BC admin/SUPER user to create the email account, or assign the user a permission set that allows email setup/admin access; after that, you can assign the email account to scenarios like purchase documents if needed.

Hi,

setting up an email account is an admin level action, the Purchasing Agent role does not carry the permissions for it. Email account setup touches system tables and the email feature setup, so BC blocks it for a normal business role even though sending email later works fine for that user.
Two different things here, configuring the email account, that needs an admin or someone with the email setup permissions, versus using it to send, which the Purchasing Agent can do once it is set. So you don't need to change his role, just have an admin do the account setup, then assign or share that email account to him.

If you want him to set it himself, he needs the email related permission sets added on top of his role, but most places keep that with the admin on purpose. Are you setting up a shared mailbox for the team or a personal account for just him? And is this the current SMTP or the Microsoft 365 connector, because the M365 one also needs the mailbox to exist on his account.
