Alert when posting to a specific GL account doesn't work

Hi all,

I have simple alerts working to notify me when fields such as 'Name' or 'Account Type' are changed on GL account which work fine.  However I have set up an alert from the Trial Balance screen that says to Alert when the 'closing balance' has changed.  I though this would capture when there are any postings to a particular account but I cannot get this to work.  No notifications are generated.

I also tried the criteria -Alert when 'Credit' field has changed, which doesn't work either.

Has anyone successfully used alerts for any numerical based changes rather than just changes to fields?

    Hello AXfinance,

    I don't think that an alert rule based on an amount shown in the trial balance list page will work and make sense, as the values are just calculated and generated when the page is opened / updated.

    If you do not want that people record transactions on a specific account, why don't you simply suspend it?

    Alternatively, if only some people should be allowed to record transaction on the account you could make use of the user feature in the main account form?

    If both options do not suit you, probably provide some additional Information on what you want to achieve.

    Hi Ludwig,

    the GL account is a kind of 'suspense 'account for use when reconciling the bank.  Any unidentified transactions get posted there whilst they are investigated, so this doesn't hold up the bank rec.  The manager wants to be made aware when there are any such transactions posted there by the end user to monitor the use of this account.

    Hi AXF,

    Have you tried seeting up the alert from the main accounts - posted form? I believe that it could work from there. Yet, such an alert does not prevent users from making the mistake your manager probably tries to prevent. I would thus go for the option and supsend the account. If somebody wants to generate a manual posting on that account they will certainly come to you and ask why they can't post ...

    Thanks Ludwig,

    I don't want to suspend the account, we just created it specially for this purpose.  the manager just wants to know when it is being used in case lots of things are 'dumped' there.  I don't know which form you are referring to, can you explain please?

    Hello AXfinance,

    I tried the following that worked for me. Can you please test and verify if this also works in your Environment.

    I opened the AOT and the General Journal Account entry table where I created the following alert - in my example for postings on ledger account 110130:

    Then I posted two Transactions for 4$ and 6$ and got the alerts.

    I tried this but discovered we only have a batch job running for 'change based alerts'. I don't know how/where to check further exactly what this covers but probably not an alert that is a 'is set to' option? The batch job task  has Class name 'EventJobCUD' and class description 'change based alerts'.  Either way no notifications were generated.

    Could it be due to needing additional dimensions on the journal posting line (eg department) where the alert is only looking for the GL account?

    Hello AXfinance,

    I have not setup and used any filters for this alert. Just opened the table in the AOT and created the alert.

    Probably your batch job and recurrance settings are not right.

    Can you take a look at what is described there if this fixed your issue: daxing2012.wordpress.com/.../alerts-in-ax2012

    I don't understand how you created the alert from the AOT table, I don't have any options to do that, do I need additional coding? but I cannot recreate your screenshot in the AX client either.

    When creating the alert from the journal lines form in AX client I cannot get the box next to the 'is set to' box to show anything despite the query in the 'select' box being set to GL 73000 only.  I can only see 'account' rather than 'ledger account' and the top right box on mine is 'journal lines' so in theory it should still work, but doesn't want to.

    I created another alert rule for postings on account 600170 with any financial Dimension combination. Can you try following the next screenshots that illustrate the steps that I have taken:

    Hi Ludwig,

    there is no 'create alert rule' in my menu directly from the table.  I can see this in my R3 Demo in USMF but not in my live R2 CU7 environment. This isn't an 'access' issue as my colleague who works in the tables all the time doesn't have it either, so stuck at the starting point I'm afraid.
