Beginner Help and information for Dynamics GP 2015

Okay, I have been working for a Production company that uses GP 2015 for most aspects of the business.  I am a junior manager in charge of the warehouse and receiving. Now our main use of GP entails scanning of labeled boxes and assembling different products into orders and preparing them to ship.

We are operating within the Sales category, which I assume is to allow all of the other departments to do their jobs more efficiently.

Now apparently we have many customized modifications to the standard GP which make searching for tutorials next to impossible.  I can't find anything on the practical application in a "blue collar" environment, for lack of a better term.  So I hope one of you can help.  I hope that is enough information for the two questions that I have.

Audit Trails.  Now from what I can understand, Audit Trails has the ability to generate a report of activities and transactions.  what I am not clear on is the actual types of transaction and activities it can record.  I would also assume that any time a product is entered into the system, or any time you transfer said item from, lets say, your inventory/stock to an order or scan in a bar code from the production floor, it would be a transaction/activity that Audit Trails can put into a report?  The second part of my question is;  If this is possible, can I specify the times I would like to see?  For example;  0700-1400 or specify which work station I would like to see on a given day.

I understand I might be totally wrong as to even the basic functionality of Audit Trails.  But I could not find any SIMPLIFIED media explaining all of the abilities of Audit Trails so basically I am hoping that I can find a way to print out a report of any specified transactions or activities that happen during my shift

Thank you in advance for any and all help and resource information you can provide. If I have not provided enough information, please feel free to ask.

RE: Beginner Help and information for Dynamics GP 2015

    Thank you for your assistance.

Okay first off I work for a good sized cookie company that produces a fairly high volume of cookies.  They are made and packaged on the production floor palettized and sent to us in the warehouse. A data entry person manually enters the number of cases from each mix into GP.  Once they are in the system we break down the  full palettes of boxes into individual orders.  At that point we pull up the sales orders by using our sales/staging smartlists and begin to scan the bar codes on the boxes. Once the order has been filled the palettes are sent back to the shipping department.  Any left over boxes are scanned into what we call stock locations where they stay until we can use them on other orders.

Now as you can imagine trying to keep tabs on the thousands of boxes moving through there every day can become a very hard task.  If one person scans the wrong palette or fogets to scan one at all, it starts an avalanche that ends up taking hours to unravle and correct.

So now we get to my point.  I have been trying to find any way to view a log or report that shows for instance how many times a scanner was used on a particular computer. Or how many orders we're filled and transfered on my shift.  So I can use one as reference to cross check against any discrepancies.

I was hoping that Audit Trails was the answer. But the term transactions that they we're using is most likely not the same meaning as what I was looking for.

I understand your reference to over working the system and taking up too much storage space. And for that reason alone I hope you know of another way for me to get the information I looking for.

I look forward to your reply.  Fingers crossed.

Sorry for my punctuation, I was on my phone typing this.  Let me know if you need any other info.

    Thank you

Before we start to discuss Audit Trails and the complexities you might want to note that from what I know the information that is collected is pretty taxing on the system resources and in addition these audit trails could not affect you and your team, but other users in the system as well.

One of the key question I would want to know about is - what is that you are looking for by attempting to track user details like this at a detail level such as you have explained above.

If you are looking for 'who did what' and 'when was it done' there might be simpler ways of getting there with a little less overhead on the system.

Now if you have a 'forensic' issue that you are trying to address - such as some is wrong and we need to figure out what is happening - and only for a short while - then I think Audit might work for you.

If you are looking for something more long term, more than just your department and your shift centered, then you might consider looking at some external tools that would do as good or better job of gathering data and presenting the data in a useable format.

We have been looking for a solution for some time to allow some of our government clients to 'audit' what is happening, and they even find that Audit is not the solution for them - but - have faith, we will find them something.

Keep posting and learning - this is a good support community and one that is built on users like you that want to learn and who are willing to work to learn.
