the position code is missing or invalid

When a supervisor tries to approve a timesheet in Business Portal Time & Expense, they get this error:

Processing failed for xxx-TS-xxxxxx-1 : Invalid Job Title code (PAJob_Title) - does not exist in the UPR40301 Table

I can logon with rights to approve the timesheet in PDK without error.  When I try to post the batch in GP it errors out with :

The position code is missing or invalid

The position associated with the timesheet entries does not exist in the system.  The employee is not assigned that pay code.  On the timesheet, the invalid pay code is only for certain entries for certain cost categories but not different projects.  Time charged to other cost categories of the same project have the correct position (the same one that is assinged to the employee).  This is happened on the past two timesheets.  I can change the position in GP, but that doesn't help the error from occuring on future timesheets when the supervisor tries to approve the timesheets.

One possible workaround may be to rename your position codes with no spaces.  It appears the app has difficulty with them.  There is a hot fix available for this issue for BP 5.0 and BP 5.1 (both GP 2010).  If you ask support, they may be able to get you one for BP 4.0 for GP 10.0.

Yes, they would be using a template.  I believe that the template was already deleted and recreated but I need to check on this.

  • Re: the position code is missing or invalid

is the user using a template to start a new timesheet.  My user was using a template which was corrupt.  The user saved a new template and all was well.

    Hi Rob,

Yes, the position codes do include a space. We are currently using BP for dynamics gp 10.

    Thanks

    Kelnic,

Can I assume that you're running into this whenever your position code includes a space?  A hot fix may be available (for specific versions).

What version of Business Portal are you using?

    Thanks

    Rob

Re: the position code is missing or invalid

    Good Afternoon,

We have had a recurring issue for approximately two months now where timesheets will not post.  Originally it was limited to one user and recreating the timesheet seemed to resolve the issue.  The last few weeks it has been expanding... this week to other users.   The error that shows up in the PA Timesheet Edit List is "the position code is missing or invalid".  In this case...the individuals all have the right position code in the Employee record...and only certain timesheets fail.  I havent limited it to a specific project, person... or even cost category for sure...but I know when you go to that timesheet in project accounting, look up the line that failed, sure enough, the position code is incorrect.  For example... the valid position code for a user is SR CON and is showing up as SR.  I dont know if this is being truncated or what the issue is...but this is the same problem for all the issues I have seen... SR instead of SR CON.  When I manually update in the timesheet to SR CON...everything works.  So far I have only seen the issue as SR instead of SR CON.  We have gone through some of your suggestions looking for a dash and this just keeps happening.

Has anyone come across another solution for this?

    Thanks

i will continue to work with Shannon on this rather than explain all again.

Thanks for your offer to help.

  • Re: the position code is missing or invalid

    Jennifer,

Can you provide more information about the position or pay codes?  What are the actual values?  As Shannon mentioned, we've found that certain characters can cause issues with processing.  More information from you could help us better understand the scenario and troubleshoot.

    Thanks

    Rob

  • Re: the position code is missing or invalid

Yes, all pay codes are in upper case.

    Hi Jennifer,

I understand that the codes are in the PDK10001 and the UPR40301.

Can you verify that they are all uppercase in both tables? If one is lower case that could be the issue.  By default you cannot add a codes with charcters that are lower case.

Please post back if we can be of further assistance.

    Have a great day!
