What's the best way to export payroll data from GP10 and create a fixed record length file?

Posted on by 150

Our outside payroll processor, Paychex, offers the ability to upload employee earning and deduction amounts from a file containing fixed length records.  The file does not require a header or trailer record and these should not be included. Paychex provides a table listing the fields available for import and their required location in the file. We key payroll data into GP in connection with the use of the Project Accounting module.  What's the best way to export this data from GP10 and create this type of file for import to Paychex system?

If you can work with macros, then you already have a base to automate this process.

With this type of scenarios you  most likely have defined a set of columns, but not the rows retrieved.

You can write macros to determine the last row used and from there, create your defined format for paychex.

If like you said you already know macros, and associate excel files with export solution you pretty much are covered.

Thanks Francisco. I am not familiar with VBA for Excel. Is that the same as using Excel Macros? I DO know how to associate the Excel file with the SmartList Export Solution. Can I expect to be able to automate data positioning, and translate values, to comply with the Paychex import file format?

For this type of suggestions you can use VBA for excel to easily automate the formatting process, then once you have that, you can link the excel vba file from export solutions from smartlist, and that will automate the export process

Thanks David. Am I correct in understanding you're suggesting creating a Smartlist Builder object to use in Smartlist to create an Excel file? Do you suggest Smartlist Builder, versus just Smartlist in this case, simply to access multiple tables and exclude voided checks?

Assuming we create an Excel file with Smartlist, can you suggest a process or way to somehow automate, or paritally automate, formatting the export to comply with the Paychex required import format (.txt file containing fixed length records)? This process will need to be done once per pay period. Paychex import file spec requires specific data positions and values. Regarding specific values, it looks like certain GP data values may need to be translated to Paychex values. For example, Paychex requires a "E" or "D" to identify earnings versus deductions. Wondering how to automate that?

If you need the raw payroll data used in GP, I would look at tables.  The UPR30300 table holds all the transactions (pay, deductions, etc.) and the UPR30100 table identifies if the check was voided and shows federal tax information.

You could build an extract in Smartlist Builder with those tables if own that and would rather not be in SQL.  The table names are "Payroll Transaction History" and "Payroll Check History."
