Load Consent from Outbound to Real Time

I recently loaded leads into Real Time from Outbound, but it seems to be loading all the leads we have in Outbound, which we don't necessarily need transferred over to Real Time. Is there a way we can stop the loading? or bulk delete the leads that i've loaded in?

Currently can't see anything that says 'stop load' or delete, only deactivate.

Any help appreciated.
Thanks

    Hello Taggie,

You've encountered a common issue when migrating data from Outbound Marketing to Real-Time Marketing (RTM) – the "sync all" behavior, which can lead to unwanted data being loaded. Unfortunately, RTM doesn't provide a direct "stop load" button or a straightforward bulk delete for leads loaded from Outbound.

Here's how you can address this situation:

    1. Stop Further Loading (If Possible):

    • Check Sync Settings:

      • Review your data sync settings between Outbound and RTM.
      • If there are any filters or criteria that can be modified to limit the data being loaded, adjust them.
      • However, be aware that once a sync process has begun, modifying settings may not immediately halt the ongoing transfer.

    • Disable Sync (Temporary):

      • If you can find a way to temporarily disable the data sync between Outbound and RTM, do so.
      • This will prevent any further leads from being transferred.
      • Be very careful when disabling syncs, as this could have unintended consequences.

    •

    2. Bulk Delete Leads in Real-Time Marketing:

    • Advanced Find (Recommended for Simplicity):

      • This is the easiest way to perform a bulk delete.

      • Steps:

        1. Open Advanced Find: Navigate to Advanced Find in Dynamics 365.
        2. Select "Leads": In the "Look for:" dropdown, select "Leads."

        3. Add Filters:

          • Add filters to isolate the leads that were loaded from Outbound.

          • This might involve filtering by:

            • "Created On" date range.
            • Source information (if available).
            • Any other field that distinguishes these leads.

        4. View Results: Click "Results" to see the list of leads.

        5. Bulk Delete:

          • Select all the leads you want to delete.
          • Click the "Delete" button.
          • Confirm the deletion.

        6. Important: Be extremely cautious when deleting data. Double-check your filters to avoid accidentally deleting important leads.

    • Power Automate (More Automation):

      • If you need to automate the deletion process, you can create a Power Automate flow.

      • Steps:

        1. Trigger: Use a scheduled trigger or a manual trigger.
        2. List Rows (Dataverse): Use the "List rows" action to retrieve the leads based on your filters.
        3. Apply to Each: Use an "Apply to each" loop to iterate through the leads.
        4. Delete a Row (Dataverse): Inside the loop, use the "Delete a row" action to delete each lead.

      • Advantages:

        • Automated process.
        • Can be scheduled for recurring deletions.

      • Disadvantages:

        • Requires Power Automate knowledge.

    • Web API (Advanced):

      • For very large datasets or complex deletion logic, you can use the Dynamics 365 Web API.
      • This requires development skills.

      •

    3. Dataverse Bulk Deletion Jobs (Advanced):

    • Concept:

      • Dataverse bulk deletion jobs allow you to delete records based on specific criteria.
      • This is useful for large-scale deletions.

    • Steps:

      1. Go to Settings -> Data Management -> Bulk Record Deletion.
      2. Create a new bulk deletion job.
      3. Select the Leads entity.
      4. Define the criteria for the deletion. (same as the advanced find filters)
      5. Schedule the job.
      6. Monitor the job.

    • Advantages:

      • Good for large data sets.
      • Scheduled operation.

    • Disadvantages:

      • More complex than Advanced Find.

      •

    Important Considerations:

    • Data Backup: Before deleting any data, ensure you have a recent backup of your Dynamics 365 environment.
    • Impact on Journeys: If any of the leads you're deleting are currently in active journeys, consider the impact of deleting them.
    • Data Integrity: Be very careful when deleting data to maintain data integrity.

    •

    Recommendation:

    • For most cases, using Advanced Find to bulk delete the leads is the simplest and most efficient approach.
    • If you need to automate the deletion process, use Power Automate.
    • If you have a very large number of records, use the Dataverse bulk deletion jobs.

    •

By following these steps, you can effectively remove the unwanted leads from Real-Time Marketing.
