Disable Set Regarding option in Outlook

Dear all,

I have an entity in CRM 2016 (on premise) called Project. The projects have a lookup to Account and I do not want to allow my users to track emails regarding the "Project", How can I remove the Project selection from the entity list in in Outlook client?

    The only way I am aware of to "hide" entities from any Lookup scenario (Lookup fields or Set Regarding window etc) is to adjust the Security Roles for users.

    In simple terms if a User does not have permission to READ for example they will not see an entity in any lookups etc.

    Specifically for the Set Regarding if a User does not have Append To privilege for an entity it will not show in Set Regarding. However this raises obvious problems as this is a global security change and may affect the rest of your system and actions.

    eg. in your example I'm assuming ACCOUNT has a 1:N relationship with PROJECT.

    I think in this case if you temporarily disabled the APPEND TO privilege on the PROJECT entity for some users you should notice it disappear from the Set Regarding options.

    As noted, this will also restrict certain actions globally, not just the Set Regarding unfortunately.

    Would be glad to hear any other suggestions, but that is my experience.

    Hi,

     as Dan mentioned, you probably can't "remove" it just for emails.. if you did not allow activities at all for the "Project" entity, that might do, but that could be too much of a limitation. And you can't disable activities for an entity once they've been enabled.

     One other option might be to have a plugin to validate "regarding" field on the email records and to display an error message when it's set to a project.
