Customer deposits (prepayments)

Is there an efficient way to receive customer deposits for future completed Jobs (invoices)?  In my research on NAV 2016 I see there is a numbering series for Prepayments, however I do not see that in 365 for financials set-up.

A technique commonly used in QB or other accounting systems would be to set up and item called Customer Deposit

  • When deposit is received an invoice is created for the deposit amount
  • Apply the payment to that invoice.
  • When job is completed and invoiced, a credit memo would be issued in the amount of the depoist(s) and applied to the job invoice

Is this the only solution in 365?

thank you,

mark

    Hi,

The solution will be to add Job Planning Line with:

      • Line Type: Billable
      • Type: G/L Account
      • No.: (choose G/L account)
      • Quantity: 1
      • Unit Price: (enter deposit amount)

Then you can create invoice for this Job Planning line (action Create Sales Invoice).

You can also decide to create a second Job Planning Line, that is similar to previous one but has a negative qty. Later you can transform this line into Credit Memo include this line into final invoice (as negative amount that reduces invoice amount).

The other option will be to use "Line Type: Budget" for actual usage. In this case you don't need to create credit memo.

Prepayments are not supported in Dynamics 365 for Financials at this time. And even in Dynamics NAV, we find they are only used on Sales documents, not on Jobs
