Hai dudes,

I have to assign task to one of my users through crm . For Example Now i am the owner of my team . I have many users in my team  user1, user2,... Now i am assigning task to user1 .That task is  visible  in my account and also it is visible in the activity tab of  user2 account.if i click "All activities "in Activity tab it shows all user activities. But I want to see all task and activities of my users in my account. But all activities and task of user1 is not visible to user2 account and all activities of user1 is not visible to user 2  account but all activities and task of my users is want visible in owner account.is it possible in Microsoft dynamics crm 2013?

    Hi Sneha,

    You have 2 main options - depending on what you want people to be able to see.  From what you've described above I think you actually want Option 1 (which is the simpler option).

    Option 1:

    If you want all staff in a business unit to see all activities (including tasks) of other members of your business unit then you just need to give them the appropriate security privilege (e.g. to view only then 'Read' Activities is all they need.  You set this under Security Roles (Customizations>Customize Solution>Components>Security Roles>Select the security role that needs changing and click on the Core Records tab and update the 'Activity' privilege from 1/4 (User-only) to 3/4 (BU & subordinate teams or even the full green Organisation-wide if it's OK that they see across the organisation)

    Save and publish your changes.

    If they need to be able to update the activity (including task) records as well then you can increase their privileges to Write, Append, Append To also.

    Option 2:

    If only people officially linked to the Account need to be able to see the activity records then create an Access Team on Account and assign the members of each team into that account's access team.

    ok mscrmba Let i Have a try. what i want is user1 task is not visible in user2 account , vice versa user2 cant able to see the user 1 account vice versa.But the  task of all users should be visible in owner account. This want I want. I will try as per you  said?

    Sorry Sneha - I have put you wrong (didn't understand what you wanted).  

    By default, if you are allowed to see an account you can see all activities for that account (activities are a bit special OOTB).

    You need to do the following:

    1. You  need to change the relationship between Account and Tasks from Parental to Configurable Cascading, Share: Cascade User-Owned and also update Unshare: Cascade User-Owned

    Save and publish your changes.

    (To get to this go to Settings>Customizations>Customize the System>Components>Entities>Account>1:N Relationships and find 'Tasks'.)

    This means that the Owner of the Account can see tasks that sit below it, and if the user changes the old owner should no longer be able to see the other people's tasks.

    (You may want to make this change for other activity types e.g. like Email as well.) 

    (You may also want to change the Assign to Cascade None so that if the owner of the account changes it doesn't update the owner of all associated Tasks.)

    2. Change the security role that everyone can only see your own activities (1/4 yellow in the Activity Read privileges).

    Double-click on it to open it up.

    Change the highlighted values (see above for what they each do).

    Save and Close

    Publish All Customizations.

    That should hide any Tasks where:

    *  Regarding has been set to the Account and

    *  you neither own the Account nor the Task.

    Mscrmba In my account by default it is in parental mode, now I changed To configurable cascading and saved and closed it and  I published all customization. Next what should I do?

    What is the Security Role showing for Read privileges?

    Customizations>Customize Solution>Components>Security Roles>Select the security role that you need to look at and click on the Core Records tab.  Make sure the 'Activity' privilege is 1/4 Yellow (User-only).
