Hello Friends,

I need to set up new user in Microsoft Dynamics GP to use only sales part. How do I control access for that user limited to use sales part only.

Any help appreciated.

Assign all the Sales security roles to the user, and no other roles.

Hi GP,

Please login to GP as SA user

1) Go to Tools --> Setup -->System --> User Security to open User Security setup screen,

2) choose the corresponding user & company

3) check the below roles

AR CLERK* (Covers most of sales related operations)

LIMITED USER - SALES*

4) click Save to make the changes for the particular user.

Note: if you need to assign a security for particular window to particular user, you need to create custom Roles & Tasks.

The above mentioned Role ID's provide limited Sale Activity to the users. If you want to setup full control of all the Sales window, no separate Role available in GP. You need to create a custom Role with assigning sales tasks.

To find out the Sales Task, follow below steps.

1. Go to Dynamics GP-->Tools-->Setup-->System-->Security Task.

2. Click the Look Up button near by Task ID field.

3. Select View option and choose the Sales category as shown below.

4. Now you can see all the Sales tasks from this lookup window.

5. Note those sale tasks and assigned to your custom role id and then assign this role to the users.

Hi Jay,

Go to Security Role Setup screen, choose LIMITED USER - SALES* role as shown below.

It is in GP 2013, i don't know whether the earlier version have this role or not. you also find the Limited User role in each module series as Inventory, Sales, Purchase, Finance, Payroll.

Hi Jay, Did you mean the Home Page top Transaction tab?

to remove the same, you have to follow the below steps.

1) login with GP user (needs to be customized)

2) right click the home page top section as shown below

3) click Customize

4) choose the main as the Toolbar, Delete the Transaction tab under control as shown below

5) click OK to proceed the changes. now the home page transaction tab get removed for the particular user.

6) you can also add the tab when ever you need.

I'm also getting below error when I click vendor under Purchasing, even when I login with sa account in GP.

Can you please advise why this is happening and possible solutions?
