Can PSTL account modifier tools treat with a change in account format

Hi,

My client wants to change their account format from five segments to seven. Can PSTL account modifier handle this?

If not...... is there another conversion tool that can be used for this?

    It is in account maintenance, but I discovered it only occurs on the server, so I'm not sure if there is something weird with the server installation at this customer site. I did manage to add new accounts from a workstation without any problem. Thanks for your help - this had me stumped for awhile until I got another client set up for testing... weird!

    Hi Constance: I could not recreate your scenerio. Does this occur when manually creating a new account in account maintenance? Also, after typing in the first 5 numbers of the account does the system jump to the second segment? Have you tried this is Fabrikam with the same results? Perhaps check links on Account Master might help or recreatingthe GL00105 table.

    The first segment should have 5 characters and 2 spaces for existing acocunts, but for new accounts it should certainly allow you to create an account with 7 characters in segment 1 provided your account format is set properly.

    Hi, Bridget: I'm trying to use the Changer tool to modify the account format, but when I expand one of the segments, I am unable to add new accounts. For example, I have format 5-4-3-6 and expanded segment 1 to 7 characters. When I attempt to enter a new account XXXXXXX-XXXX-XXX-XXXXXX, the system just sets blank values for the last 2 digits of the seven-digit segment. It won't let me add a seven-digit number there. Any ideas? Thanks for your help! Constance

    What I have done in the past is expand the format and segments to the greater of either the old chart or the new chart. Example: old chart xxx-xx-xxxx, new chart x-xxxx-xx-xxx   then temporarily make the account format 3-4-4-3. Then run CRGroup's Changer for GL to convert the accounts to "x  -xxxx-xx  -xxx". The GL will temproarily have extra spaces after the conversion and you can then run system reconcile (Tool>>Utilities>>System>>Reconcile) which will shrink down the chart to your new format (1-4-2-3 in the example).

    You cannot reduce the size or number of segments once transactions have been entered.  You would have to use Reformatter or contact Microsoft Dynamics Professional Services for assistance.  Sorry.

    Hi Christina,

    Thanks so much for your response. I have verified that the account framework maximums are set to 66 characters and 10 segments which should accomodate the change. However when I try changing the account format (before import) to reflect the seven segments, with the new number of characters per segment, I get an error. E.g. The first segment has to be changed from four characters to one but I get an message stating that I can't reduce the characters because transactions have already been added to the COA. Does this mean I won't be able to use this tool or do you know if there is a way around it.

    The short answer is it depends.  As long as their account framework (not format, but the installed framework) supports the extension to 7 segments, you are fine.  You would first change the format to 7 segments using Tools>>Setup>>Company>>Account Format, and then you would use the account modifier to change the account numbers (Prior to using the account modifier, the accounts would show spaces in the new segments).

     To check the account framework, look at the maximums specified in the account format setup window.  If 7 is greater than the maximums listed, then will need to look in to the Prof Svcs framework change service or corp renaissance's reformatter tool.
