Period end close locking mechanism

Hello Experts, We have a requirement from client,
 
Problem description:
Current accounting limit date mechanism is outdated and lacks flexibility, being based on a single lock per department and period and there is no clear visibility or dashboard to track the status of period closures across markets.
Finance users cannot selectively control postings (e.g., restrict only sales or only costs) after the period is locked.
Solution from another vendor:
They have come up with below solution,
Introduced a multi-step period locking mechanism (4 sequential phases) replacing the single “accounting limit date” concept and provides a centralised dashboard interface to manage, monitor, and execute locking steps per entity and period.
4-Step Sequential Locking Process
  • Phase 1: Operational cut-off: restricts posting based on user roles (only Finance and AR/AP users allowed)
  1. Phase 2: Sales freeze: Sales and Cost freeze restrict postings on specific GL account groups. (Sales and cost restrictions are controlled via predefined GL account groups)
  • Phase 3: Cost freeze
  • Phase 4: Full data freeze: blocks all postings completely.
Ask: Now they want the similar solution to be designed within D365F&O.
We have suggested Ledger calendar period functionality and also the financial period close workspace but they need the sequential locking process as suggested above.
Kindly request all the experts to advise how best can be achieved in D365F&O

    The above mentioned requierement is partly supported by Dynamics 365 Finance. You can set a period to on-hold and set per module a user group that is still allowed to do some posting. This can be tedious to maintain. You can test the period status per module. In case this will support the option to allow/block the processes as per the requirement, you can build a customization to automate the period status settings based on a custom process page.
     
    If this does not fully meet the requirements, analysing what postings belong to what step will be pretty cumbersome to document and then add new validations when posting different actions.

    The category was AX, so I wasnt sure to which app you are referring.
    We struggled and partly still struggling with the standard functionality. My advise is, to really write down the processes and test the standard functionality in Ledger calendars as the restriction for different modules can be different for a journal and for another document like a Timesheet. So, it is necessary to understand what needs to be set to on hold. Keep in mind that it is also possible in some modules 
     
    What you can do is to allow the posting for only a certain group of users. You have to set the Period status to "Open" and the select a user group (here: Corp. Acc.), that means its only open for the specific user group. Behind the user group are users assigned to that group.
     
     
     
     
     
    In some modules it is also possible to use the following parameters. F.e., you try to post an expense report in a period that is already closed. The question is, do you want to have it posted in that closed period, then you have to contact someone to reopen it for the time of posting, or you set the parameter to TRUE, where the dates (mileage, per diem etc.) can be months in the past, but in the ledger it is posted on the 1st of the next open period.

    Could you please advise how this can be achieved (Sales and Cost freeze restrict postings on specific GL account groups) in F&O? I mean how can we restrict postings on specific GL's? Can we customise a custom process page which provides an option for sales and cost freeze which inturn restrict postings on few GL's? or should we manage postings on GL's itself? 
     
    Kindly share your thoughts on this.

    In standard you cant restrict the postings for specific ledger accounts. If you want an input for a customization, where the requirement is to restrict postings for specific ledger accounts\groups I can provide the following idea:
     
    If you want to choose groups, then I would create somewhere in 1 or 2 a YES\NO field. The purpose is just to mark the main accounts for restricting.
     
     
     
    In this drop down, you then need something like "Main accounts", where only those main accounts can be posted on, for which the above YES\NO field is set to NO.
    The logic would still remain the same, so that Period status OPEN is valid for "ALL", "NONE" or for the ones that are set to "NO"
     
     
     
     
    This is just an idea how you can solve it, there is lots of requirements engineering to do in order to provide the best solution.
