Two clients with identical

Posted on by

We have two records with the same name. They have different roles.  The more recent contact is the more active record.  However, when I type in the last name I can't even see that record nor can I tell that I am not seeing all the records with that last name. So if I didn't know we had two records I might mistakenly go to the record of the first and less relevant client.  How can we tell when doing a search by last name that there are more records.  If I type in first and last name both records come up.

There could be only two reasons for that:

    - You have something wrong with the last name (it does not match.. extra character.. or space somewhere..)

    - Or there is a condition in the "quick find view" which prevents that record from being displayed - did you check the filters there?

The second record does not appear among those 14.  And there is no indication that there are more than 14 records with the same last name.

Just to confirm.. that second record does not appear at all among those 14 or it does appear but not next to the other David M?

I am in the contacts area with the search at the top right hand.  We have at least 14 with the same last name.  I don't understand why the two David Ms are not appearing next to each other in the lookup results.

Are you trying to find that contact in the lookup control? Or are you in the contacts view? And how many contacts do you actually have with that last name?

I appreciate your response.  Both names show up if I enter first and last name.  However, it is going to be time consuming to search by first and last name every time we search.

In short it is David M (for privacy reasons I can't give names or send screen shots) and the list appears to be ascending by first name (we have a number of records with the same last name).  However the other David M doesn't appear on the Contact search by last name.  Is there a way to search and have first names in Alpha order?

I appreciate your response.  I tried this and found where I could sort the by Ascending but the name still doesn't show up.
