Departments as a segment of the GL account

ReportReport
Posted on by 831

Hello,

The customer wants to see the Trial Balance in BC with expenses by department going down the list.

I understand that using Dimensions is going to be tricky if we want to see all GL accounts with all Departments going down on the same page. Is that correct?

What is my best bet setting this up? Should we create GL account structure similar to GP and use dashes to concatenate departments? Something like GGGGG-DD where G- GL account and D - department?

Thank you,

Oleg.

I have the same question (0)

You could create a report and show them on the report by the Department. I believe creating a separate GL Account for each Dept will be too much for maintainenace.

    Hi Suresh,

    Thank you for helping.

Are you referring to custom report or suggesting that with dimensions standard report can be created that will list expenses by department?

    E.g.

    601000       - $30

    602100-Admin - $20

    602100-Sales - $50

    602100-Marketing - $70

Etc. along with all other GL accounts?

    Thank you,

    Oleg.

Check Dimensions Detail Report and select appropiate Analysis view code, if that does not suffice your needs then you need a custom report.

    Oleg,

Adding to Suresh's reply... Create a Dimension called Departments and enter the values. I would make Department your Global 1 Dimension. Now, if you want a Trial Balance run the report called Trail Balance, per Global Dimension. This will run the Trial Balance by Dimension, which should give the results your customer is looking for.

    Hope this helps.

    Thanks,

    Steve

    Thank you Steve,

Trial Balance by Dimension gives me a page per dimension value. Would you know if there is a way to have all dimensions on one page on separate lines? Or is this a customization?

    Thanks a lot,

    Oleg.

    Oleg,

Use Trail Balance, spread dimension. Set the Global Dimension. Account Range and Period and you should be good.
