Activities View with custom field

Hey everyone,

Hoping someone can lend an eye on this one.

I have using CRM online.  I have a need to track activities based on a custom field.  Let's call that field Field X.

Field x is a simple option set (3 choices).

What i need to be able to do is view all activities related to a certain account that have one or more of these options.

For example: I want to see all activities for Account "ACME Corp" that have option 1 selected from Field X.

I hope this makes sense, and I sure hope there is a way to accomplish this.

    Hi Darren,

    I don't think you can do it exactly the way you're asking.

    Acitvity type entities (email, fax, phone, task, etc) are special entities that derive from the Activity entity with common fields like Start, End, Duration, etc. In the activity list, you're seeing those common fields from each activity type. On top of those common fields, each specific entity will have custom fields that only make sense for that type (i.e., Fax has a field Cover Page Name). With the structure that CRM has for activity type records, you can add custom fields to the Fax record, but not a common field to Activity that would be shared by fax, email and task.

    You could create your option set field as a shared option set and add if to each activity you're concerned about. This will let you set the value on all of those records.

    Where this falls short though, is that each field is a different column in the data, so now you can't get back all activities in one view since you'd want all Fax with Field = A, and all Emails with Field = A. You could set up different views for each entity you care about, but you couldn't say "Activities with Field = A".

    Activities are a meta-entity. You can't edit it directly.  What you would need to do is to create the custom field on every single activity type where it makes sense.  For example, if calls and tasks and appointments all need that field, you would add it to them separately. Then, you would need to create custom views for those activity types.

    In all honesty, it would be easier to just determine one activity type that will have that custom field, and educate your users to only use that activity (like Tasks, for example) when they need to use the custom flag.

    Dear all,

    any news regarding this topic in the current version 9.0? I´m also looking for a solution where e.g. a lookup should be displayed and filtered by all activity types like phone call, task and email.
