Auto populate contact field from a lookup contact

Posted on by Microsoft Employee

I am trying to setup up a contact who has an executive assistant. The executive assistant is already in the database. I need to add him/her as a lookup field to whoever they represent and then have email and phone fields auto populate as well.

Any ideas?

Malcolm

    Hi Malcolm,

I would suggest a different approach here.  I would suggest setting up a "Connection" between the contact and their executive assistant.  This way if you have multiple assistants you will not have a challenge showing them all on the Contact.  You should be able to add a sub-grid with the Connections to the Contact to show the executive assistant, and any other connections as well.

    Hope this works for you.

    Thanks much,

Ahhhhhh, sounds simple enough. I will give it a try and post my results tomorrow.

    Hi Guido,

The fields were out of the box but I will need to create new ones anyway as the ones out of the box were not lookup fields.

So what I need to do is be able to go into an already created contact and add a user as the "Assistant" and then have her email and phone number fields auto populate into whoever she is the contact for.

    Hi Malcolm,

+1 for Guido for suggesting Quick View.  That way you don't have to change the Contact's contact details.  But if you must, then you can create a real time workflow that runs on change of the new EA lookup field and update the Contact record.
