Change PO Status from Release to Close

Hi everyone,

I am trying to change the PO Status from Release to Closed.  When I try to do this, a pop up saying "you can't change the status of this line item.  it has unposted receipts assigned to them"  I've checked to see if there were any batches that still needs to be posted but cannot find anything.  From the looks of things, a receivables transaction entry was made but there is nothing in it by going through smartlist.

I've tried reconciling the purchase document, but it did not change anything.

does anyone have any idea on how to fix this?

    When you pull up the PO on the Edit PO screen, how many items have been received versus how many have been invoiced. You need to have an invoice match for at least how many have been ordered. You may need to run check links to see if an unposted transaction comes back.

    Hi Richard,

    In the Edit PO Screen, all the items are still in released.  There are 6 items for this PO.  None of them have the received state on them.  My colleges just told me that his end might have crashed during the received phase of this PO, thus a receive transaction has been logged but there is nothing in it.

    The system will not allow me to make any changes to the state of the item.  It keeps popping up the unposted receipt whenever I change the item's release state to received or closed.  I've ran the check links for purchasing and still no effect.

    Any ideas on how to correct this?

    Do you have any records in the POP10310 or POP30310 tables that are related to this item?

    Hey William,

    I believe I just had a very similar issue.  Taking Leslie's advice I ran a select statement against POP10310 and found there was a receiving in the table for this purchase order.  I took note of the reciept number RCTXXXX, went into PO receiving, punched in the number and the damaged reciept came up.  Rather than trying to fix it , I found it best just to delete the receipt.  I was then able to change the status.  You may want to check the balancing of your accrued purchase account as mine was out of balance because of this transaction.

    What is this POP10310 or POP30310 tables you are talking about?

    The POP10310 is the Purchase receipt line work ( all the line items on an unposted receiving) and the POP30310 would be the Receipt line history table (basically one the PO is moved to history this is the table where the line items will reside).

    Go into SQL Management Studio and run Select * from POP10310.  You will likely find a record in this table that will reference the PO Number you are having a problem with.  Go into GP into the PO Receiving window and put in the Receipt number that you found in the POP10310 table and a record should come up that is missing the header information.  This would be the damaged record that I was referencing.  Delete the record and you should be able to change the status on the PO number.
