Dynamic Worksheet - Refresh Control in Microsoft Excel

(0) ShareShare
ReportReport
Posted on by

We use CRM 2016 online and Microsoft Excel 2007.

I created a dynamic spreadsheet from CRM data.  I have saved it on a public folder on our network so other employees can access the report data.

My question is this:   Is it possible to have the spreadsheet automatically refresh itself so that when others (including some non CRM users) access it, it has up to date data?

Under Connections-Properties in Excel, I have tried setting the "refresh every" to a few minutes to see if it works but it doesn't.   I also tried selecting "Refresh" and "Refresh data when opening the file" but that doesn't seem to work either.  It replaces the information with blank cells.

I am hoping to find a method that will avoid any manual refreshing and be able to set it on a weekly timer.

Any help would be greatly appreciated!

I know this doesn't answer your specific question, but I want to point out that Microsoft Flow is an alternative to provide this functionality. It's possible to use Microsoft Flow to query CRM data on a schedule and add the retrieved data into an Excel file (e.g., hosted in OneDrive).

To set this up in Flow and OneDrive, first, create an Excel file that has the fields that you want and name it something like "crmdata_template.xlsx". Upload that file to OneDrive. Make a copy of the file and name it "crmdata.xlsx" and copy that file to OneDrive as well.

Then, in Flow, create a workflow that does the following:

    1) Trigger: On Recurrence (e.g., once per day)

    2) Action: Copy the OneDrive file "crmdata_template.xlsx" to a file named "crmdata.xlsx" and use the overwrite option.

    3) Action: Query CRM for the data you want to load into Excel

    4) Action: Insert the CRM data into file "crmdata.xlsx".

The result will be an Excel file that has the latest CRM data.

You could also change the flow to copy the Excel file to another destination (e.g., SharePoint, DropBox, etc.)

Thanks for your input, Tim.  But, Microsoft Flow is completely new for me.  I need to spare some time to understand.

Meanwhile, I request the other forum members to shed some light on my above query.  I need to find an option to use the Dynamic Worksheet from CRM.

Hi, bumping a very old thread.

But, what would my "Action" steps look like for step 3?
