Is is easy to delete chart of accounts in Dynamics GP 10.0? we are still in the process of loading chart of accounts and wanted to know if we are able to delete accounts in the future without too much problem.

    The easiest and most fool proof way is to use the mass modify functionality. Go to Cards >> Financial >> Mass Modify.

    In the first field on this window select 'Delete' from the drop down list and then select a range of accounts to delete.

    Obviously accounts with transactional data cannot be deleted in this way.

    If you happen to have a bunch of accounts that don't quite fall into a range as noted above, I have had success recording a macro of me deleting a GL account and then using a smartlist to come up with a list of accounts in excel that I want to delete.  You can open that .mac file and use MS Word's Mail Merge functionality to create a large macro to delete your accounts.  The reason you shoudl use smartlist is that you need to grab each or your GL account segments seperately to make this mail merge work.  So if you had an account like 11000-000-0000, You can get Smartlist to export it in 3 different columns.

    I appreciate all the help on this.  We are just in the early stage of setting up the Dynamics, the chart of accounts are not quite final yet, however, we want to load some already.  The concern is, we don't know how difficult, easy, or possible challenges we might run into if we want to delete accounts.  We just wanted to try now to delete so we know we can in the future.

    Your other option (if you are used to MSSQL) is to delete all or some of your GL Accounts table in SQL. You could create a Query that deletes from this table where the account index = '?'.

    If you could run a smartlist of the accounts you wanted to delete and include the account index column. Export this to XL and then create a formula to create the required queries, it would be a quick and dirty solution.

    Only advisable if you have entered no data, or assigned GL codes anywhere in the system (such as customer or supplier records, tax details, default posting accounts window etc.)

    If you do it, remember to run checklinks on the financial series afterwards. (In fact not a bad idea to run checklinks on all series, just in case someone has assigned an account code in one of the other modules).
