Employee Utilisation

Hi,

We are trying to setup a group role that has access to assign\modify all projects for resource management but not have access to modify any of the other project information.

I have tested the 'Project Executive' role and this allows the functionality that we require but also allows access to do anything on the project.

Does anyone know which access permissions to assign to this role? I think 'Project - All' is too encompassing so wanted to break it down a bit but thought I would check if anyone has done something like this before I start assigning permissions on and off until I get what I want.

    Dear Jarrod,

    You sent a screen shot of Project Portal setup for Project Maint. I see you have Resource Assignment as FULL  for the role you selected Now, Select the role you created and set the page level permissions for that role.

    Hi Jana,

    It appears that when I clone a role, the permissions are not carried over. I have created a new role and added the project specific permissions that you describe above but the users cannot assign resources.

    I have had a look at the permissions and have listed them here for 'Project Executive' but it appears that 'Project Manager' has the same permissions.

    I am not sure what you mean by page access in your comment above. If you could point me in that direction I might be able to make some further comparisons.

    Dear Jarrod,

    Well project executive can access any project's data. PM/BM are more restrictive to their own projects.

    You might clone the project exec role.

    In the Roles section, I selected Project executive and used the Copy a role function. Gave it a name, and selected the entity for project team. I assigned the role to a user and finished the wizard.

    Then I selected the created role and clicked on the permissions tab, then the modify button.

    The most of the permissions are not assigned that are not Project related like Account for instance.

    But Project related permissions are assigned. For Instance I changed Project All to Project-PV. I cleared permissions to enities like Project Maximums for instance. I left permissions to Project Employee, Project task employee, Project Team, Project Budgeting (resource assingment can update budgets) in place.

    Most of them that are for Projects I don't think are needed.

    Then you can go back to that Project Portal setup and assign that new role to the page access.

    Hi Jana,

    I can confirm that these settings are all correct as you have mentioned above.

    I have just read my original post again and I think I may not have described the issue correctly. Our Project Managers can assign resources to their projects, but only their own projects. We want them to be able to assign resources to any project even if they are not the PM for that particular project.

    Is this actually possible?

    Dear Jarrod,

    Well I was thinking that if you wanted some employees to be able to assign resources (and they are not project managers) you might want to assign them the role of Business Manager.

    Role assignment for Business Manager

    In BP admin (site actions, site settings, Under Business portal Adminstration click Users find the user you want on the left pane and click on the middle tab Roles. click on modify

    The user should have the following roles assigned.

    1. Business Manager role

    2. Project Employee role. and note the project employee id should be assigned as the Business manager on the project (this is done in Project Maintenance either in SL or BP)

    In Sharepoint. Site actions , Site settings, Users and Premissions-People and Groups, click on more...on the left pane when the page loads. The user should be assigned to the following groups.

    1. BP project manager

    2. BP project employee

    In Project Portal setup, depending on your version...In older versions this is under the site actions, site settings, Business portal Adminstration - Project portal setup. In the current version, its under the Administraion menu item on the left pane from the BP home page.

    When the page loads, Select the Project Maintanence radio button. When the page loads under the dropdown for ROLES select Business Manager. the top section gives rights to Resource assignment (full, view or none) Select Full if you want Business Managers to assign resources etc.

    Hi Jana,

    I was definitely in the wrong location and have now stumbled across the screen that you mentioned. When I select the 'Project Managers' group, which is the group that we want to give the permissions to, I can see that the 'Resource Assignment Req' has both Enabled and Visible checked.

    Hi Jana,

    I cannot seem to find the location that you mentioned - or I am looking in the wrong place! (New to this product)

    Here is what I did:

    Business Portal Home page > Site Actions > Site Settings > Select 'Roles' under the 'Business Portal Administration' menu.

    I can then select and modify the 'Business Manager' role, but cannot see 'Resource Assignment' in there as an option to select. I have also looked through all of the 'Project' headings and expanded each of them to look for 'Resource Assignment' and cannot see anything in there.

    Dear Jarrod,

    Project Executive role is above Project Manager. You'd probably want to use the Business Manager role and limit visability permissions from there.

    You can give access in the Project Portal Setup screen for Project Maintenace

    Project portal setup is located from Business Portal Home page at Site actions, Site settings in the Administration pages.  You can select the role of Business Manager and set the dropdown boxes , which indicate access to tabs and pages for Projects. There is a Resource Assignment option in that section.
