Task management like to do management with organizational hierarchy

Dear all,

Greetings of the day!

I'm just describing one of our client's requirement.

They want task management with organizational hierarchy i.e. actually they are in a real estate business,so they have different type of task which have to be assigned to the user.One task will be there under the parent task there can be a lots of sub task and under the sub task there can be multiple sub task again and in this way the task assignment should be done and they want the notification also that should be sent to the user's mobile in form of pop up or reminder.

The organizational hierarchy will be there like the user who will be assigned for the parent task will be able to track all the  sub tasks below him but vice versa will be restricted,basically the hierarchy and all the restriction should be set up by our requirements.

    HI Suman,

    May i know a number of sub tasks that is require in your requirement. Since requirement demands a security level from top to lowest hierarchy but not in upward direction. You may need to design different entity for sub tasks.

    Thank you so much for your prompt response,FYI the number of sub task can be of n numbers,and one more things to add with it parent task can create sub task and the sub task also can create multiple sub tasks.I have drawn the below diagram kindly take a look.And Parent task should track all the sub tasks.

    HI,

    You can achieve this only by self referential relationship on task entity. I mean you implement task relationship to task entity itself.

    You need to implement unique auto numbering for each level of hierarchy.

    Secondly, to implement security. It is not possible to implement this directly. Way around is to use access team concept in this scenario.

    Once you create a sub task then only add users in access team who are authorize to see this. This way you can achieve security over you requirement.

    you can implement this in 3 steps:

    1) make a self referential relationship of task entity.

    2) You need to do auto numbering in your sub tasks intellectually, so that you can make a differentiation between parent task and sub task.

    for example: parent task name: Task01 sub task namesub-task01 and sub-task02

    3) To implement security role, you can use access teams. By help of access team, you can associate lists of user that can view that record.

    For example task01 can be view by user 1 and user 2 . sub-task01 can be view by user 1 user 2 and user 3 and sub task02 can be view by user 1 user 2 and user 4. So user 3 cannot view sub task 02 and similarly user 4 cannot view task sub task 01. Finally user 3 and user 4 both cannot view task 1.

     Thank you so much for your response sir.

    Firstly we thought to do the whole implementation by the "case".We can create a  child case of an parent case,is that possible to create the sub case of child case.For example I have created the parent case "A",and have created the child case "B".Now my question is can we create the sub task or one more child case "C" under the child case  "B".

    HI,

    I ll elaborate self referential relationship further, once you create a self referential relationship. for example entity A having 1:N to entity A then you will get a lookup attributes on entity A itself correct. Create two records record A and record B. Now make record B reference to record A(populate lookup attribute on record B to reference record A). Now create record C and D, reference to record B(populate lookup on both record c and d to record b). so this is how you will achieve 3 level of hierarchy which you can implement on any entity in ms crm.

    To add further what exactly your requirement, if you just wish to create task and remind user of their activity per day. Stick to task entity because Case records object are heavy in size and takes enough memory. As you have declare that there can n number of task. Creating case object to that level will not justify its existence in ms crm.

    I would suggest try to open different thread for any additional query , which helps other to find similar query in future.

    You can get sharing history using access teams , where you can see the list user for a records  in which record been shared.
