Hello Microsoft Community,

I’m hoping to get some advice or suggestions on a business requirement I’m trying to configure in Dynamics 365. The process involves creating a new product code in the system, with multiple departments contributing to its setup and approval. Here's how the process works:

  1. Planner Department:
    • Creates the product code and fills in basic product details.
  2. Warehouse Department:
    • Adds warehouse-related information and approves.
  3. Accounting Department:
    • Verifies and supplements tax details, financial dimensions, and provides the final approval.

Once all these steps are completed, the product should be marked as "Ready for Use."

Key Requirements:

  • Notifications need to be sent to the next department at each stage, so they know it’s their turn to take action.
  • The solution can use workflows, events, lifecycle stages, or any available Dynamics 365 tools.
  • We’ve explored using Product Lifecycle States (e.g., Draft → Warehouse Review → Accounting Review → Active) and Product Readiness Checks. However:
    • Product Readiness Checks seem to have predefined options that don’t fully match this requirement.
    • Workflows don’t seem adjustable or available for this specific scenario in our system.

My Question:

Given these limitations, how can I set up a smooth process in Dynamics 365 to:

  • Ensure each department completes its assigned tasks sequentially.
  • Notify departments when it’s their turn to act.
  • Mark the product as "Ready for Use" only when all steps are completed?

If anyone has faced similar challenges or has ideas on how to configure this using standard features (or even a creative workaround), I’d be incredibly grateful for your guidance.

    the product readyness check is part on the Engineering change management, which is obiously not the best fit for you, but would be also configurable.
     
    More easy and flexible to configure is the case management.
    It is just a tool to setup responsibilities, persons, and activities as individual tasks and a sequence that the process has to flow, and steps can individual tasks be set to be mandatory.
    This individual flow is not preconfigured and needs to be setup by you or an F&O consultant as you described in your requirement. All activities are logged and it is a transparent process within the F&O. 
    It is also a good approach to have the lifecycle status as a central point of product readyness and also to be prepared for a product end of life scenario.
     
    Another approach would be to define a process using Power Platform which can for sure start and end within F&O, but basically the logic would be outside F&O within a Power App, Power Automate or Logic App Flow. I also assume this is the more effort solution in creation and maintenance.

    Hi,
     
    You can explore an ISV solution from Staedean called Data Entry Workflow. Actually, this is not a Microsoft Dynamics 365 standard feature or workaround you asked for. It comes with an additional subscription.
    You can then configure how many steps and what person or department needs to add what data to the product master (or other master/reference data). After all steps are complete, the changes will be copied to the real product master data. 
     
    FYI, I was involved in the vision and realization of this solution when I worked at this ISV company before. The purpose of the solution is exactly how you describe your scenario. 
     
    You can also consider Power Apps and build a custom app for this requirement.
