Attach a pdf to payables transaction in MS Dynamics GP 2010

Hello, my boss just assigned me with the task of figuring out if it is possible to attach pdf files to payables transactions while I am entering invoices. I was able to google some instruction, but they seem to be for a different version. These are the instructions I found

http://dynamicsconfessions.blogspot.com/2010/07/attaching-pdf-file-to-payables.html , but like I said, they don't work on the version I have.

Does anyone know how to do this on Microsoft Dynamics GP 2010?

Thanks,

Hanre

Well, first I woud recommend an upgrade to 2013 as the process is much easier and simpler there.  But for 2010....

Create a shared folder that everyone has access to on your server.

Create any documents to be attached and store them in this shared folder.

On the transaction, click on the notes icon next to the transaction number or document number to open the notes window.

Click on the OLE Attachment button and browse to the document in the shared folder

This is covered in our book the MS Dynamics GP Power User Guidebook.  Check it out on our site.

There is no OLE attachment button. There is only an "attach button" to click on after I typed a message, and then there's the "delete" button. The only other options I have are in the toolbar, but nothing under "Edit", there is only cut, copy and paste under "Edit".

Do I need to change things under "customize"?

    Thanks,

    Hanre

At the bottom of the note I have a paperclip icon, an 'attach', and 'delete' button. Do you have the paperclip icon?  I think you want the paperclip icon, then go to edit and insert new object, click on create from file and browse to your shared folder and select your document.

I do not have that paperclip icon. I am using GP 2010.

I just noticed there are two notes icons on the Payables Transaction Entry Window.  There is one at the bottom by the help ? and then another at top after Voucher number there is a search icon, then a note icon, then the intercompany box.  You want the note icon by voucher number field to get the paperclip icon to attach a pdf.  My note field by help ? at bottom doesn't have the paperclip icon either.  Try this and see if it works for you.

That's the one I was trying. That one does not have the paper clip icon. Neither does the one by the help icon at bottom right. I wonder if that paperclip icon has to be activated somewhere in the settings.

    Found the below at   gp2themax.blogspot.com/.../dynamic-du-jour-ubiquitous-note-field.html

    that may explain your situation:

Attachments are stored in the location specified in the OLEPath= line of the Dex.ini file. (Note - if the OLEPath in the Dex.ini file has not been defined, the paper clip icon will not appear in the Note window - see your IT personnel if this is the case.  The OLEPath should be a shared directory so all users can view the notes.)
