Unintended emails being tracked in dynamics

Hi there,

Lately we have identified that dynamics is tracking and creating an email activity for the users whose mailbox are not even tested and enabled. The status reason on the activity record says Received for most of them that I have picked randomly. These users use neither use old outlook plugin nor new App for Outlook.

Does anyone have any idea why this could be happening?

    Hi Rav,

    Can you check if there are other mailboxes ( user mailbox/queue mailbox) with the same email address?

    Hi,

    Please make sure this setting anyway;

    Navigate to Personal Options > Email and check Track under "Select the email messages to track in Microsoft Dynamics 365". It might be "All email messages", it can be changed to "No email messages

    I think I was able to identify the problem. We have contact records in the system that share the same email address as of their user's record- sort of replica. All these email activities were being tracked against those contact records however the owner of the activity shows as the user record maybe because the owner field is a lookup to user/team?

    I am not sure if i understand the question correctly, let me know if i don't

    the owner field can be a user or a team. It can't be a contact, an account or any other entity.

    Yes, the OOB owner field for Activity entity is a lookup to user/team, which could be the reason why the activity owner shows as the user however activity is tracked under the contact record.

    Sure, you can see any activity (e.g. e-mail) under the contact which is in regarding or to field. For instance, if there is an email thread, you will see all the emails under the activities of that contact regardless they are sent or received.
    So, for the activities, you can see the activities under the records of "From", "To", "Owner", "Required", "Regarding" etc.
