    Hi,

You're tracking activities and contacts or leads that send the emails - are you referring to setting the Regarding field in the app? You can get custom entities there but you need to tweak the settings. That lookup behaves the same as the universal search box. Make your custom entity available in the universal search and you'll be able to look it up or create a new one right from the app.

Hope this helps! I'd appreciate if you'd mark this as Answering your question.

    Thanks,

     Aiden

    Hi Aiden,

thanks for your reply. I want to to track emails. Therefore I want to look up custom entities. Those entities show up in the universal search but not in the new Dynamics CRM 365 app. So I'm also not able to create a new custom entity from the app.

    Thanks again

    Hi,

I think I'm missing something. To track an email, you just have to hit the Track button and (optionally) select the regarding field. If you have server side sync enabled, incoming emails from contacts or users will automatically be imported to CRM. External emails from Outlook will need to be tracked but again, you just click the button for that. Check out the screenshot below.

    Thanks,

     Aiden

    Hi Aiden,

thanks for your help. But I think I still didnt make clear what my point is. Of course, I know how to track an email with the CRM App. My problem is that I cant link a tracked email to a custom entity, nor can I create a custom entity from CRM App.

So, to put my question differently: Do you have a custom entity? Can you track an email to this custom entity? If yes, how?

When I click on "track" the mail gets only linked to the corresponding contact/account.

    Thanks

    Hi,

Yes, I can see and create new custom entities from the "Track this email regarding..." option (screenshot below - Event is custom). I read a ton of documentation on this last week and I could have sworn you just needed to have the entity available in the global search, but I can't seem to find that now. I'll keep digging and see when I come up with.

    Thanks,

     Aiden

    Hi Aiden,

I only can see "Organization" and "Contact", despite having a few custom entities that are available in global search (universal search box upper right). So would be great if you could find any documentation on this. This should be some switch somewhere...

    Thanks again!

    Hi,

Some progress but not much. There's a post from Power Objects that goes along with what I said (Categorized Search is the proper name of the global search)

"Note: The Dynamics 365 App for Outlook search uses the settings from Dynamics 365, so an administrator can customize which records and which fields are searchable by changing the Categorized Search options in System Settings and customizing Quick Find views" - www.powerobjects.com/.../5-things-we-love-about-dynamics-365-app-for-outlook

That's not exactly the behavior I'm seeing either because I have other entities in the categorized search that aren't available to add in the app. That may be a prerequisite but there's got to be something else.

    Thanks,

     Aiden

    Hi Aiden,

I couldn't find anything new. Maybe I have to contact MS support.

    Thanks again

I got the solution: you have to enable mobile access in the entity properties to get it to work.

Wow, I would not have thought of that. Good find, thank you!
