Dynamics 365 App for Outlook (Tracking Emails)

Posted on by 70

When you use Set regard in the app it populates the "Regarding" field in Dynamics which is what connects the Email record to the relevant record in Dynamics.

However when you Track an email the "Regarding" field isn't populated, how is the email record and the contact record linked together when tracking? Is there a field that sits somewhere in the backend or some sort of relationship.

    Hi Rick,

Did you progress any more with your query?

I've moved to the Dynamics 365 App for Outlook from the old Dynamics 365 for Outlook plugin.

With the plugin, it used to track to any record which had a matching email address (from the From, To and Cc and Bcc fields), it doesn't seem to be doing this in the new D365 App, it's only tracking to the contact record for me as well.....

    Hi Priyesh,

They are emails sent directly from Outlook.

    Thanks,

    Hi Rick,

Correct, I didn't mean that too.

Are these emails received as a response to your Dynamics 365 email?

    Hi Priyesh,

Im assuming your referring to the Email Assistant (AI) which scans your mailbox and matches the emails to records in Dynamics then shows them greyed out in Dynamics to give you the ability to track them?

The issue i am facing is not this, the emails that are being Tracked Without Regarding are showing as full emails against the Contact.

    Thanks,

    Hi,

It's because they are related to the people in the email. Their background color in Dynamics might be slightly on the fainter side as compared to the emails that are tracked explicitly.

    It's an expected behavior.

    Hope this helps.

    Hi Priyesh,

    Many thanks for the reply.

We have been Tracking without regarding but the emails are still somehow showing under the Contact. Im not sure if its possibly something else causing it.

    Thanks,

    Hi,

When you track with Regarding field, it related to the type of the record and the Email is tracked in CRM under Activities and the Regarding field points to the record you set the Regarding against in D365 App For Outlook. This will also appear in that record's Timeline view.

When you track without Regarding, the email record is simply tracked in Dynamics 365 under Activities entity and doesn't relate to any record.

If you tracked using Regarding and specifically selected a record in the D365 App For Outlook, it should appear in the Regarding field on the Activity (Email record) in Dynamics 365

    Hope this helps.
