Multiple leads from same company

Hi, we have ended up with a list of Leads where we have multiple contacts from the same company - all imported as separate Leads. This isn't ideal and makes the lead management process cumbersome for our telesales staff.

I would be interested in your views how to best handle this.

It doesn't seem possible to select multiple leads (only 2) and merge them.

Another avenue I investigated was wether or not it is possible to add contacts (leads) as a stakeholder after the  Lead has been qualified and converted to an Opportunity. This too isn't possible (as far as I can see) since the Leads are completely separate from other entities.

Any thoughts?

Ola

Hi, It is actually quite normal to have duplicate leads for the same contact i they are new opportunities or even the same opportunity but originating rom different lead sources. The standard way this would be addressed is to use the 'Existing contact?' and 'Existing Account?' fields on the business process flow so that when you qualify the lead, only an opportunity is created and linked to existing account/contact records. Of course, if it isn't actually a new opportunity then the lead can be disqualified. This is how Dynamics CRM is intended to work out of the box.

    Hope this helps,

    Scott

    Hi Ola,

Duplicate Detection can help you to prevent, but it would not block you if your users creating from the UI not Import wizard.

But now you can try to clean up it by running the system job to check the duplication.

To add the contact as the stakeholder after qualified, you need an a plugin to manipulate that since CRM by default has its own rule to create or not create Contact or Opportunity and it is not related to the Stakeholder as well after qualification.

you need a plugin to do that and update the parameter like createcontact to false instead

    Hope this helps!

    Thanks.

Yes duplicate detection rule could helps you in not creating the new lead for same contact.  And for rest you have to merge the records.

    Thanks

    Hi Ola,

My best sense says to keep the leads separate if they'll lead to different opportunities. But the simplest way to merge multiple records is to combine 2 at a time, merging extra leads with the merged record until only 1 is left. You can set up duplicate detection rules & jobs to reduce superfluous lead records.
