Creating CRM Appointments for other users

Hello, we are using the service calendar in CRM 2016.  We use both service activities and appointments.  We have a requirement for some administrative users to be able to create appointments for other users when they are off, to show their lack of availability in the service calendar.  However, when we do this, we find that the appointment shows in the calendar for both users (the intended user and also the creator of the appointment).  Assigning ownership of that appointment doesn't help.  The admin user is not an attendee of the appointment or an owner, yet it still appears in her calendar.  We need to use appointments because only appointments and service activities show in the service calendar and we use service activities for other things and don't want to use them for blocking off time like this.  Has anyone found a way to do this?

    If I am not mistaken there is an invisible field on the record called 'organiser'. The creator is automatically the organiser and therefore gets the appointment in their calendar. See if updating the organiser field to the planned user solves your issue.

    We have checked as said by wouter. To assign the appointment to another user, you have to change the organizer lookup. Initially organizer will be set as user who create the appointment. While creating or after appointment create you can change the organizer once you change the organizer then appointment start appearing on changed organizer calendar. By default organizer field is not on form you have to add on form from customization.

    Hi Wouter,

    i'm hoping you can assist. I have a similar situation where I am an EA and I want to be able to make an appointment on my managers calendar (which I can). However, now using CRM I cannot use "Set Regarding" whilst making an appointment in his calendar but I can on my own. Would this be a licence issue?

    As suggested by Inogic, we have created a Workflow updating the Organizer on Create and on Assignment of the Appointmment record.

    You need to use a background workflow since when using a realtime workflow, you'll always get a warning message saying that the User already has another Appointment at the same time slot.

    I'm wondering if anybody has had any problems with Outlook Sync when applying this solution? The link Wouter provided could lead you to such an assumption.
