Security on emails in Advanced Find

Hi all,

I was hoping someone could help me with a query around security on the CRM system. As we use CRM to manage our HR and sickness processes, there's a couple of custom entities that are locked down pretty tight. This has been tested and we've found it to be fairly robust.

However, I just performed an Advanced Find search through Email Messages and all this information is in there. OK, I can't open up the 'regarding' record but there's a lot of information in the email that's visible to all.

I've had a look through the Security Roles to see if there's a way to restrict access to the Email Message entity but there's no option in there for this. I tried modifying Activities but they were still visible.

Has anyone got any ideas about how I could restrict this?

    Unfortunatly because email is an activity then the security is based on Activity entity in the core record, which is a very global security setting.

    You could adjust things so users can only see their own activities or activities in their own business unit but I have found this doesn't work very well because most users need to see activities.

    You could add some Javascript to hide the description field when a user opened the email based on what security role they were in

    unfortunatly there isn't any easy answers

    Ben, regarding security on an email activity, we need to suppress the showing of the "Delete" option in the Ribbon that appears when viewing the Email activity:

    What would be the javascript to do this ? And where would it be placed (i.e. under the Entity's form area ? )
