Project budget import

Hi there,

Is it possible to import the project budgets using Data management?

If so, can the allocation per year be done this way as well.

If not, are we expected to take on hundreds of projects and do the budgets manually?

    Hello Shaun,

    How do you define the budget amounts?

    Aren't they defined by the work breakdown structure (WBS) that you track inside of D365FO?

    If you are not making use of the WBS, do you really need a budget amount at the project level or wouldn't the import of a ledger budget amount in the budgeting module do the same job?

    Hi Ludwig.

    Yes a WBS is done. Project imported and WBS imported using data management.

    We have to take on over 100 projects. So are we saying that a consultant would need to go to every project and update budget manually? and also reallocate each line across the periods manually?

    Good morning Shaun,

    I think that you can import things - either with data management or electronic reporting (ER).

    Have, however, not found a standard entity in the data management workspace, which means that you need to use either ER or create a new entity for the import.

    The other thing I am wondering is the thing with the allocation across periods.

    That is something that I don't understand.

    Why would that be needed?

    I am asking because the WBS contains the start and end dates, which define the dates for the budget.

    What is it that needs to be reallocated across periods?

    The WBS line could be across multiple years. I need to allocate x amount in year 1 and y in year 2 etc for the budget.

    I see.

    Yet, this is exactly what happens if you import the WBS data into the budget form.

    If you want to import things then you have to ensure that the WBS data that you import are in line with the budget data that you import.

    This might require some 'logic' to be incorporated into the import process.

    Otherwise, your WBS information might be different from what you see in the budget form.

    My WBS line looks like this:

    1/1/2020 - 31/12/2022    R1,000,000

    In my budget I need to reallocate:

    1/1/2020 - 31/12/2020    R500,000

    1/1/2021 - 31/12/2021    R300,000

    1/1/2022 - 31/12/2022    R200,000

    This I can do manually but not through import correct? Unless my WBS line is broken into 3 lines before sending to budget.

    You are correct, we cannot do the allocation of budgets through import currently in the system.
