Cannot create a record in Timesheets (TSTimesheetTable). Worker: xxx, TS-xxxxxx. The record already exists. (AX 2012 R3)

Hi,

Recently several users who access AX via AX Enterprise Portal in my company keep getting error message like below:

Most of the time, I try to delete history in Internet explorer & turn off pop-up blocker, then try again. Sometime it works after log in, log out several times after cleaning tasks above. However the same users keep getting the same error & make me confused. Like the screenshot above, it says the timesheet TS-002032 already exists in AX for user Vina Brew. In fact Vina Brew never has a timesheet before in AX. Searching by that timesheet number, I found that it belongs to someone else in the past & that person is not Vina Brew.

Please help me!

    Kindly check the number sequence for the timesheet, clear the number sequence if any pending.

    Hi Thai,

    Syed is correct. It should be related to the number sequence setup.

    Check the next number of this number sequence if it would not use an already existing number. Also check if the number sequence is setup to be continuous. If this is the case, some numbers might be in the status list. You can delete the pending numbers like Syed mentioned, but I would suggest to disable the continuous setting for the timesheet numbers. Then you can have gaps in the number series, but that would not be a problem for just an internal reference. It is not an important number series like voucher numbers.

    Hi Syed & Andre,

    Thanks so much for all your help. Below is the Status list from my AX. In this list there are both Free & Active numbers so do I need to delete all of them or just delete Free timesheet numbers only. It looks like there are thousand of records with Free status, I don't know if there is a way to use sql delete statement (with condition Status='Free'). Please advise me!

    Hi,

    I'd like to update my status issue: I've just deleted all "Free" timesheet numbers & now my users can create their timesheets without "Cannot ...". So far so good. But honestly I don't know why this issue can happen? The check box for Reuse numbers is not marked or selected yet, why my AX keeps reuse those free numbers ...

    Hi Thai,

    Which exact version of AX2012 are you using? Possibly there might be a known issue. I have not seen this problem at my other customers. Are you aware of possible customizations?

    This is the version we are using now.

    Below is the screen shot of Number sequences - Number sequence code set up in our AX.

    So I don't know if there are any incorrect settings virtually allow AX reuse a free sequence number. Another thing is that Automatic cleanup is activated for some reason that I don't know. I'll check with my IT people & learned that no one did. I guessed that this cleanup process was done & caused the "issue": adding not use sequence numbers into the Status list with "Free" status?

    Hi Thai,

    At my other customers the Continuous setting is not active. Disablong this will solve your current issue like explained in my previous reply.

    The reuse numbers is a special setting for invoices and credit notes, but not related to timesheet numbers.

    The cleanup settings are default when a numbersequence is continuous. I prefer to disable it and have a batch job do the clean up.

    But like started with this reply... disable the continuous setting....
