Integration with sharepoint

Hi,

How do you replicate your security access rights  from Dynamics into Sharepoint?

eg: I created several business units/ countries in Dynamics in CRM.

Integration in sharepoint is working fine, but only on defaulted folder (Organization, contact,...).

There is no restriction in shrarepoint based on my business units.

if french user can access sharepoint URL , he will see all documents from other countries.

thx

    RE: Integration with sharepoint
    Hi Thomas Serpollet,
By default, Dynamics 365’s native SharePoint integration does not enforce Business Unit-based security in SharePoint, meaning users from different regions can access all documents if they have the SharePoint URL.
To resolve this, use SharePoint Security Sync by Inogic. It automatically syncs CRM security roles with SharePoint, ensuring users only see documents they are authorized to access. No need for manual permission management.
    Additionally, SharePoint Security Sync can:
    1. Bulk Migration: Easily transfer large volumes of CRM Notes, Emails, and Sales Literature attachments to SharePoint securely.
    2. Email Management: Seamlessly move email content and attachments from CRM to SharePoint for better organization.
    3. User-Friendly File Management: Upload, download, rename, share links, email, and create folders directly from an easy-to-use interface.
    4. File Versioning: Keep track of file changes with version history, allowing easy access, comparison, or restoration of earlier versions
    5. Custom Folder Structures: Create custom folder structures to overcome the SharePoint library limit of 5000 items.
    6. SharePoint Metadata: Customize document organization in SharePoint with flexible metadata columns
    7. Date Display Customization: Choose to show the original upload date or update it with each file modification.
    8. Instant Security Role Sync: Automatically sync security roles between Dynamics 365 and SharePoint, ensuring accurate access control without manual effort.
    9. DocuSign Integration: Sign documents stored in SharePoint electronically with DocuSign for quick approvals.
    10. Security Templates: Restrict or allow specific actions like upload, download, email, copy link, and rename in SharePoint for better control.
Unlock the full potential of your CRM with a 15-day free trial! Install the SharePoint Security Sync app directly from the Inogic website or Microsoft AppSource.

    Hi Thomas,

You could use Azure AD (mail-enabled) security groups or Office 365 groups to keep the user access in sync between both systems.

    See for example:

You could use Power Automate flows to create you storage structure in SharePoint, like:

    Hi Thijs,

    Thanks for your answer.

What do you mean by creating plugin? Powerautomate flow for example?

    Thanks

    RE: Integration with sharepoint

    Hi Thomas,

This is correct. There is no OotB way to replicate access rights from Dynamics to SharePoint because they have completely separate security models. The solution is to create SharePoint sub sites per business unit/country and document libraries per Dynamics entity. Then for each SharePoint sub site add the Office 365 users to the sub site security group. Be sure no rights are inherited from the SharePoint site above. Finally you can create a plugin to move the files from the SharePoint site to the correct sub site and document library.

    Kind regards,

    Thijs van der Klei
