Estimated Close Date of Opportunity Approaching Workflow Reminder in CRM

I have created a workflow to email the appropriate sales team member a reminder message when the Estimated Close Date of an opportunity is 5 days away. I set two trigger points---one when the opportunity is created--- and one when the estimated close date field is changed because this often happens.

Unfortunately, I am finding that my sales team members are receiving two email messages instead of just one. I need help editing this workflow so that they only receive one email. Can anyone help me with the logic to get the "Record is Created" trigger point to stop if the estimated close date field is changed?

 My Workflow Logic is:

Start When:

Record Field changes (Estimated Close Date)

Record is Created

..................................

Timeout until 5 days before Opportunity: Est. Close Date then:

If Opportunity: Status equals (Open) AND (Opportunity: Owner equals (Sales Person) Then:

Send Email

Otherwise, if Opportunity: Status equals (Lost;Won) then:

Stop workflow with status of succeeded.

    Hi Molly,

You may need to add an attribute to the Opportunity that indicates whether they have received the notification.  The issue is the workflow is attached at the time of creation.  Then if they change the Estimated Close Date BEFORE the 5-day notification, then another workflow is attached.  (This cycle can go on, such that receive 2, 3, 4 notifications for each time they change the Close Date).

However, if they receive the notification, then go change the Estimated Close Date, another workflow will attached and they will only receive one notification.

If you put a Yes/No field on the Opportunity that says Notification Sent, then you can mark that as Yes when the notification is sent.  You can then Check that field in your workflow.  If Yes  then start the timeout step (and set the Notification Sent to No again), but if No, then cancel the workflow.

    Hi Gretchen,

Thank you for your help.  Is there anyway to automate this process?  I do not think that my sales team would be diligent about changing the atribute.

    Hi Molly,

Yes, the workflow should set the attribute to Yes when it sends the notification.  The attribute should not be on the form for users to update.

    Good luck! :-)
