Share point 2013 integration with Dynamics Ax 2012 R3

Hope you are doing well!

I came across a requirement and thought of taking your suggestions/ideas on the same.

Scenario:  We have implemented projects(pre-approved) in share point for a client. This has multiple steps in share points before projects get finalized and approved in share point and then should be transferred to Dynamics Ax 2013 R 3 along with all the attached documents.  Below is more details about the flow.

Share point(pre-approved projects):

1. First of all client receives a concepts notes which contain details such as project name, country region, sector, name of beneficiary etc so all the information client enters into share points forms and attached required documents and submits for approval.

2. Then it goes to country program manager , he looks at it and if required attach few more documents and , enter his comments and send it to due diligence team.

3. Due diligence team enters its comments, attached necessary documents and their findings and send it to Negotiation team.

4. Negotiation team team do their job , attach few documents if required and then process it further to legal team.

5. Legal team do its part and send it to further to director general for his approval.

6. Director general(DG) either approves/reject it. 

- Lets say if DG approves it then client wants that all details of this projects should come and sit in Dynamics Ax 2012 R3(project module) along with all the documents attached through out all the steps mentioned above. If DG rejects then it should just stay in share point. So idea of Dynamics Ax 2012 R3 is to hold all the approved projects along with all the required details enter through share point and attach documents.

So I was exploring various options how to make the whole projects information/details(especially document attachment done in share point) to Dynamics Ax 2012 R3? 

Any idea/suggestion most welcome!

    Our DocuValue table in AX 2012 is now sitting around 90 GB with all the attachments we have for the POs and invoices, and we would be happy to move that off to a Document Library in SharePoint at some point which is now supported in Dynamcis 365 for Operations.

    You would need an option to be able to link specific AX projects with your SharePoint project. However you design it to synchronize the content, you need to maintain a link somehow between the two applications. Be it a push from SharePoint on approval to AX through a custom AIF service or Document service, or be it a pull by AX by a batch job which scans your SharePoint project and then creating the new ones, it does not matter which way you go.

    You should not import the documents as Document Attachments to AX, since that would just inflate your database, unless absolutely required to have a copy of what you already have.

    So my recommendation would be is to leave documents in SharePoint, and only provide a link to that form AX. You could use HTML control for example to show it in the client if required, by just pointing to the document library entry's URL.

    Thanks for your response Vilmos. Really Appreciate. So now I will start looking into the possibility of how to provide the specific link(and not the whole document library) of attached documents for a particular project(once approved finally) in share point to Dynamics Ax. Although I am still not very sure how to do it but anyways i need to explore it more. Thanks Manoj
