want trigger one mail for more then a appointment related to same account.

Hello Everyone ,

In Activity(Appointment) , we have written one plugin to create appointment and update appointment 

Example ..if we create any appointment which account dealer is YES and this account has more then one opportunities(ex- 10 oppt)

then it created total 10 appointment auto by written plugin. and same it update all 10 appointment (mark complete) while picking any one of appointment.

So here we have a workflow on appointment status completed send mail to Users and respective persons.

basically it checks status Complete and it send 10 mail for all 10 completed appointment.

my requirement is   it shouldn't send 10 mail , if it is related to same account only one mail is enough because all 10 appointment and 10 mails are same .

any idea and any clue please ..........

need your help and support , how can i do this ?

    Hello ,,,,,,,,,,,,,,,,,,,,,,,  u are suggesting me to follow either 1st step or  2nd step or both together............

    and how to set No in all records except one appointment record....

    and i have create one boolean field in appointment entity and giving default values YEs.

    but while creating Appointment in every appointment this YES value is getting setup.

    example-- Opened Appointment form and entered following details..........

    Account- ABC    (ABC account delaer is YEs)

    Opportunities No - 1001  ( this ABC account has 10 opportunities with different no Ex- 1001, 1002, 1003, 1004, 1005, ---- etc.)

    Product - Rubber      ( this ABC account has 10 opportunities with different product Ex- Rubber, Pencil , Cotton, Phone, Wire etc.)   

    created one boolean field- default value- YES

    entered other fields and saved the records.

    now ....As i saved the record(appointment) - Total 10 appointment have got created with same account and different Opportunites and Products...

    if i can stop saving this boolean field with value YES in other 9 appointment then ..my work can be little easy ...

    Hello there,

    It will not possible to check this condition in a workflow.

    You will have to handle this in your plugin itself.  two things

    1. Either in your plugin you decide if all appointment has same account , just send one email there.

    2. create flag - a Boolean field on your appointment entity. In your plugin just set this field to "NO" on all the records where you dont want email to be sent. just set on 1 appointment.

    later in your workflow check if this flag is "yes" --> send email, otherwise , stop the workflow.

    I have given you just some high level idea.
