Duplicate Detection view unable to display potential duplicate record

Hi All,

I need some help on identifying the issue we have on our system on the duplicate detection window view.

We have two CRM user. User1 which has System Admin role and User2 which don't have system Admin role but has Organization level of read privilege on Contact Entity.

When I try to create a duplicate contact using User1, I am able to see the Potential Duplicate record. screenshot below.

but when I try to create a duplicate contact record using User2, its not showing me the potential duplicate record (on the view) but it says it has 1 duplicate record on the "Contacts(1)". screenshot below.

The columns on the view are also different for each user.

If someone can point me on what could be the possible reason why this is happening, i will greatly appreciate it.

We are using Dynamics 365 v.1612 (8.2.2)

    Hi LMP

    How did you get the view used by User2? In my similar issue i'm trying to check that a VAT code in a new Lead doesn't already exists as an Account .

    I tested a specific VAT Code, example 12345678901 (Italian VAT codes are numeric) and it works great for a user with a role that allow to see the account with that VAT, duplication is detected.

    But when I try to create a Lead with a user that is not allowed to see that specific record because it's owned by a different BU, the duplication check doesn't work, no popup window appears and the record is saved.

    I already checked and the role has read right in "Duplication Detection Rules" as Jared suggested.

    We're using a Dynamics 2016 on-premise 8.1.0.359

    LMP - thanks for your post. We had the same issue and have solved it - but our root cause was different ... or at least an extension of the issue.

    Initially we followed the advice above, and the duplicate records then showed up in the pop-up but only when we created a new record which matched an existing one. If we updated an existing record to trigger a duplicate, we had the same issue.

    To fix, give your Security Role the right to read Duplicate Detection Rules (under the Core Records tab):

    Just like your post, our issue seemed to be related to security roles. A System Admin, or a System Customiser would see the data in the popup. Our custom business security role could not. The key difference was the other roles had the "read duplicate detection rule" privilege.

    It's not intuitive, and it's not clear as to why changing the columns fixed the issue when creating a new record (but not on an update). But adding the privilege should help. :)

    I was able to identify and fixed the issue.

    The view being used on the potential duplicate detection window for User 2 is the "Contact lookup view".  First Name and Last Name was not added to this view only the Name (composite) field. I added First Name and Last Name field on the view and this fixed the issue.

    I tried to find how the views are displayed in that pop up. The top one seems to be from the lookup view but couldnt figure out the belpw one... checked all the views :(

    Try to see if you can figure out which view it is and if user 2 has access.

    If nothing works tgen i believe it is worth to contact MS support.

    Yes..t does look like something similar. So when you give the sys admin, do you see the same view as user1?

    After giving System Admin role to User 2, it works. But User 2 should not have system admin role. 

    The columns on the Duplicate Detection window are also different, my guess is user 2 do not have privilege to the view of User 1?

    Can you try giving sys admin and confirm if this works after sys admin?

    Hi Ravi,

    I just tried it. User 2 created a contact record. User 2 tried to create a duplicate of the contact, duplicate detection window pops up but not showing the potential duplicate record. User 1 tried to create a duplicate of the contact, duplicate detection window pops up and it is showing the potential duplicate record.
