Can we use a Purchase requisition Workflow for a Organizational Hierarchy?

Hello,

I was wondering if its possible to use the organizational hierarchy for a Purchase requisition Workflow. Is that possible? As far as I know you can use a position hierarchy to for a purchase requisition Workflow. But what about Organizational Hierarchies?

I thought to use the field Manager in an operating unit or "owner" in the financial dimension so that the submitter can report to the owner/manager of that organizational hierarchy

Last question - if you configure a Workflow, you can choose between the Hierarchy type Managerial Hierarchy" or "Configurable Hierarchy." What is exactly the difference. I thought one is for organizational purposes and the other for position hierarchy. But that is maybe not the case?

Best regards

DNC

    Hi DNC,

With help of a customization, you can get the manager of an Operating unit. You then need to create a new workflow participant provider in Visual Studio.

Do you then need the organization hierarchy or can you directly find an operating unit?

Next to the position hierarchy, you can create alternative hierarchies (position hierarchy types) for different purposes. This could be e.g. a hierarchy for a project organization or an approval hierarchy different from  the managerial hierarchy based on managers (reports to). Per hierarchy, you can link the workflow which would be able to select the configured hierarchy. If you then choose for the Configurable hierarchy, you can select the hierarchy types you did setup in your environment.

Hello André and thanks for your help,

well the customer wishes to use an organizational hierarchy, because they want the owner/manager of the Cost Center to report to the owner/manager of the department. This is why I thought to use the field "Manager" in the operating units Cost Center and Department.

So you say that a new workflow participant has to be created? But since the customer wants to use the organizational hierarchy, would it be not better to use the assignment type Hierarchy instead of Participant? Then, the developer could try to create a new Hierarchy type - Organizational Hierarchy. The manager of the cost center would then by default always report to the manager of the department.

But even then, one question would be open. How can I tell the system that the Manager of Department A has to submit a Purchase requisition Workflow to Manager of Department B for approval? For such cases we can use configurable hierarchies in the Human resource module. But here, that's not possible. I think here we could use your proposal and create a new participant type for Managers?

    Hi DNC,

Thanks for clarification the business requirement. You can do this by developing a new participant or hierarchy provider. For both, you will need to create a custom handler class containing the logic to find an approver. For sure, your requirement is achievable.

    Hi DNC,

Is it possible to use expenditure reviewer ? Which will assign workflow based on owner of the dimensions ?

That was also my idea. But it does not work, because departments are not used as financial dimensions. They are only used as organizational units. The client has for example a CFO who is assigned to a department. But this department is only configured as an organizational unit, not as a financial dimension. It is therefore not possible to use the owner (=CFO) of a financial dimension "department."

    Hi,

thanks for the response. We decided to use a positional hierarchy instead. Unfortunately, we do not have the time to develop such a hierarchy provider.

    Best regards

    DNC
