Event attendees and leads

Hello,

I am trying to create a event attendee list from an import file.  I think using Marketing list of Leads makes sense. Then once people attend have that lead list convert to Contacts.   I see I can qualify leads to become contacts. Can anyone suggest a best way to handle that ?  I would like the Leads to appears as Attendee list in Event entity Form then have the Contacts appear as Attended List in Event entity Form.

    Hi Tom,

Sounds like you need to use an Event and Event Registration entity. The Event would hold details about the Event, the Lead about the unqualified person and the Event Registration record to join the two. I.E many people can attend many events, represented using a joining entity.

The Event Registration should have a N:1 relationship with Contact, Lead and Event, so you can reference all three in one place at different times of the qualification process.

Hope that helps to spark some thoughts.

    Regards,

    Aaron

Thanks for the reply.  I have something similar. But unsure about field keys to use when defining registration entity.  I know technically the Leads and Contacts are in the same storage but should I define the fields in the registration entity to be EventId, LeadId, and ContactId and make the LeadId and ContactId optional?

Its been a while since this post but, where do you stand on the subject now? Currently we're working on a subject where we have a trade show we attended as an exhibitor. We got a few leads while at the show. Then we received a list of attendees from the show, that we didn't speak with or get information from while they were at our booth. What are the action steps we should look at on this?

We create a Campaign for each trade show then the leads we get from the show, we add to the Campaign as Leads but, now I wonder what to do or how to enter the registrations from the show and associate them back to the campaign.

    Any thoughts?

    Hi Kyle,

It's been a while since I worked on this. But it probably depends on how you want to handle the sales process.  If you want all attendees in the registrations entity then probably add both leadid and contactid to the registration.  Use the lead Id for initial registration, but if the lead gets qualified you can update the contact id.  It's easier if you are qualifiying all the registrations since you would always have the contact in that case. The lead has a field called parentcontact, I think, that you can use to get the contact id.
