Archive Event data

Hi Experts

My customer wants to archive an event after 13 months, meaning that only a set of anonimized data will be available after archiving.

I saw that contacts that have a canceled event registration, still exist in the marketing database and can be found by creating a segment by selecting the "Event Registration Canceld" event.

Is there any way to delete this data?

    Hi Boudewijn,

    As you have created the segment of the contacts who have cancelled the registration, you can create an on-demand workflow targeting at the Contact entity with a step delete contact.

    But there’s no OOTB method to delete a record with workflow, so you need to download a managed solution of Dynamics 365 Workflow Tools and import it into your system.

    After importing the solution, the workflow can be created.

    Then create a customer journey, set the segment as the audience and insert the activated workflow after it.

    It allows to delete the contacts in the segment.

    Hi Boudewijn, I hope you are doing good.

    This can be caused because there are existing related registrations and they do not allow delete all contacts. Try validating that.

    If this is not helpful, please provide more details.

    Hi

    Thanks for your answer. My customer does not want to delete contacts, my customer wants to archive an event. I can remove Event registrations, but then the contact is still visible in the canceled registrations section.

    We want that to be removed.

    So, is what you mean that the cancelled registrations have been deleted but the contacts can still be filter out by the condition "Event Registration Cancelled"?

    If yes, the data is under the category of interaction data which is stored in the marketing-insights service database. It can be seen in the insights tab of Contact.

    So there is currently no practical way to modify it.

     

    A compromise solution is to copy these contacts and delete the original records via a workflow or flow.

    Hi.

    My customer wants to archive marketing event data (and other data as well) after 13 months based upon GDPR regulations.

    It sees like events like 'Canceled event registration' are still stored in the marketing-insights service database because the contact still needs to be in Dataverse. We can not delete the contact.

    Is there any other way to remove this event data from the marketing-insights service database after 13 months?
