Business Central and Master chart of accounts and master vendor lists

Good day - I've been brought in to assist our consultant who is implementing Business Central 365 for a client with a complicated business structure.  The client chose BC because our consultant told him that a master Chart of Accounts and master Vendor List could be created and shared down to all the other companies and intercompanies (14 at this time).  During a training session today, our consultant told the client that any time a new account or vendor were created, the master COA and master VL would have to be copied down to all companies.  Sounds inefficient the way the consultant explained it.  He said that each intercompany/company had their own list and it was a simple function to copy it down to all 14.

Is it possible to have the master COA and master VL seen by all companies/intercompanies and updated automatically without copying it down to each?  The client is ready to pull the plug and I need to try and salvage this implementation so any help would be greatly appreciated.

PS - we are a Dynamics user, not BC (yet) but I was brought in because I'm a Dynamics expert and can talk the same language as the client.

Thanks -

Beth Morley

Ok got that guys, thanks for the info.

But shouldn't the property Data Per Company be removed so that by mistakenly some does not changes it.

    Hi

Tough problem to reset expectations - I feel for you.

I understand what you are asking because I have a Dynamics GP background, and this can be done in Dynamics GP by having a Master Company.  You then make any additions / changes in the master company and it triggers to the children.

I am not an expert in BC - in fact, I am trawling the forums as part of my training as knowing the limitations I feel is way more important.

Just a thought, and I have no idea if this would work or the pitfalls, but I like thinking out of the box.

With the Configuration Worksheets, you can take data from one company and put it into another.

Could you use a Configuration Worksheet from a Master Company to publish updates to other databases?  I can't think of a reason why it wouldn't work.  I am assuming that BC wouldn't let you e.g. delete a Vendor if data existed.  But, if the Configuration Worksheet simply works like a table update, it might.  Could be worth testing.

    Cheers

    Heather

Yes for COA we need to create common for all companies & try to create common dimension if your used too.

Vendor and customer is necessary if you have inter company transaction between this 14 companies totally 364 combination (in one company 13 vendor & 13 customer)

Data per company is not good idea in Business Central. Some times there is chance of data loss while publishing the APP.

No standard way. The only way I can think is through an extension. You will need to develop an extension that check the COA and Vendor, if there is a new or modified record, it will replicate it to another companies automatically.

I am afraid, Manish it's not a great idea as if you do so you may run into a lot of conflicts. For example if you have different global dimensions in different companies - it's just one, I can find heaps of them if required

    Hi Beth,

Unfortunately, the data in every Business Central company is independent - each company has its own Chart of Accounts and own Vendor List. There is no standard way to declare that, for instance, the COA should be common for every company i.e. you modify it in one company and your changes are being copied across to other companies automatically.

However, there are third-party add-ons that can do that. For example I know that these guys have such a module: www.pa.com.au

For COA yes you can have common for all companies, need to change the property of that table (Data per company) from yes to no.

VL its not a good idea, it involves multiple tables.
