Steamlining Purchasing Item Detail Entry

(0) ShareShare

Our company frequently has Purchase Orders with 40+ items.  All items included the same data for the Account Number, FOB:, Requested By and other fields on the Purchasing Item Detail Entry Screen.  Is there a way to enter this data for the first item and have the fields to auto-populate when additional items are entered on that Purchase Order?

I tested using the macro and it worked well.  Thanks for the Help.

P.S.  I will look into the Power User Manual.

    Here is a simple solution:

Enter the information on the first item that will be unique on all items.

    Start recording a Macro

Enter the common information and stop recording the macro

Enter the information for the second item and play the macro. (You can put the macro easily in a shortcut so you can hit a single key like F5 to replay it.  Record it once, setup the macro, and for any future recordings, use the same macro name.)

You should check our our Dynamics GP Power User manual!

I don't think what you are proposing is possible via the GP interface or any add-on "configurable" product, but it is realatively easy to accomplish via customization to GP.  There are 3 custom tools for GP: Dexterity, Modifier/VBA, and Visual Studio Tools for GP (version 9.0 and later).  It would not be my first choice to do with with VS Tools, since it will involve a lot of dexterity code within the VS code.  Sort of redundant.  Modifier VBA might work, but in my experience when you try to default multiple values all at once, Mod/VBA can do some interesting things.  Best choice here is Dexterity.

I would assume that after you enter the first line, it would just remember the values you selected, and paste those onto each new row.  One thing to consider.  Would you like to see some of those Purchasing Item Detail Entry fields in the main Purchase Order Entry window, in the scrolling section?  I get nervous about defaulting values that the user can't see without going to another window.  You might consider not only defaulting some of these fields, but also bringing them onto the main PO Entry window.

Wild ballpark estimate alert!  If you are only defaulting these two values and bringing them onto the main window, I'm guessing this is an 6 to 10 hour project.  Probably not more than 12 in an "unexpected things happened" scenario.

Call up your GP VAR.  Hopefully they have a Dexterity developer that can help you.  If not, give us a shout!

    Good luck.
