Resource allocation in project management in D365 F&O

Hi Team,

Please clarify my question. My question is we can allocate a resource in multiple project and overbooked him. This is the standard functionality.

How can we stop our system from overbooking of the resource. If it is a standard functionality then please let me know how to do that. and If it is a customization then please give some tips to achieve it.

    I would suggest select the resource from the resource list and create reservation details [soft/hard book] for the resource from the scheduling board.

    This will give you visibility of the available hours in a day for the resource and from there you can specify the hours on each assigned project to the resource.

    Note: Check the adjust view settings and see if the Display remaining capacity is set to Yes under the View settings tab on action pane within the scheduling calendar.

    You can hard book or soft book the resource and 'specify hours' or book 'full capacity'.

    When you soft book a resource it will be a tentative reservation. You can convert it to hard booking by creating tasks in WBS and publishing it as it will create a hard assignment for the resource.

    Once all the hours of the resource are consumed in the assigned projects the status of resource changes to reserved

    If this does not fulfil your requirement you can look at the option of customisation.

    Thanks for your help.

    I under the the WF concept now. but what if i want to hard stop it. If a person is already assinged for 5 hours in a project. and working time is total 8 hours. now how can i stop the PM to assign the same resource for another 5 hours on different project. Only through customization it is possible?

    What is the working time calendar of the resource defined as ?

    Basically the difference is in visibility of availability of the resource in the schedule calendar.

    E.g. If the availability of the resource is 8 hours in a day, you could hard assign 5 hours and still the resource has got 3 hours to be assigned on another  project. With hard booking you have visibility of your resources that are committed and with soft you have resources that are reserved but can be committed to other projects.

    There is a workflow (Resource request workflow) available too which Project Managers submit required for resources in their projects and resource managers can approve/reject the requests. You can leverage to convert (Soft to hard booking).

    When I am soft booking my resource for 4 hours in 1 project and while assigning task in WBS and on publishing it, those 4 Hours are hard booked the resource now.

    Now in my second project, I am booking the same resource for another 8 hours and in WBS i Am assigning task for 8 hours on same day with the 1 project.

    Now it is showing overbooked resource. I want to hard stop the PM in second project from overbooking then 8 Hrs.

    Can you please suggest on this.
