How can I stop number series from skipping numbers for master data

Hi

how can I stop BC from skipping numbers due to users trying to create a number customer or vendor then deleting it

so for example vendor number series is V0001 to V9999 and incements by 1

if last vendor number is V0003 and a user was trying to create a new vendor. If the user open the screen he will see V0004 then during entry user decided he \she is not going to proceed so he deleted that vendor. Then next number the user will get when he tries to create a vendor will be V0005....so V0004 will be skipped for no reason and will never be used and vendor list numbering sequence will look a bit odd

is there a way to prevent this from happening?
thanks

Ola

The only way that I can think of is to take the delete permission for that masters from users. They can create new customers and vendors, but never delete.

Dear Raelhefn, you are absolutely right but for the financial transactions. If the setting(Not allow gaps) that you are pointing to is used for non transactional table's no series then user will not able to delete a record later.

    Thanks

By default, gaps are not allowed in number series because the exact history of financial transactions must be available for auditing, by law, and therefore must follow an unbroken sequence with no deleted numbers.

If you want to allow gaps in certain number series, then first consult with your auditor or accounting manager to ensure that you adhere to the legal requirements in your country/region. For more information, see Gaps in Number Series.

please refer to this doc for more information about how to setup number series docs.microsoft.com/.../ui-create-number-series

RE: How can I stop number series from skipping numbers for master data

    Hi Ola Darwish,

You are right if a number from a number series is assigned to a record and then that record is deleted you will get next number because that number is already used. If you open No Series and see its related Line table you can understand that it stores the last number used in table and then assign next number for new record.

If there is gap then on creating new record you can put number manually that has been skipped. This way your gaps will be filled but it is not easy way to remember the skipped numbers and also you have to allow manual numbers in no series.

There is another solution but it will only work correctly if you know that there are no new records created after the skipped numbers. For example in your case you have deleted vendor with V0004 so next number will be V0005. If you open No series page and select No series that is attached and then open its Lines you can see that there the Last No used will be V0004. Change it to V0003 again and in this way you will get V0004 again automatically. But this only works if you are sure that some other user has not already created new vendor V0005 at the same time.

    Thanks
