Copying fields from one entity to another to show in forms

Hi Guys,

I am a basic user of CRM and I am hoping someone can help me

I have CRM online.

I have a "Renewal Date" field under "Account" entity, which I also want to use under another entity "Opportunity". I want to add it to Opportunity Form.

And let's say if Renewal Date field is changed in opportunity, it should reflect under account aswell. or if Renewal Date field is changed in Accounts, it should change in Opportunity aswell.

How can this be done? do I have to create 1:N Relationships? if yes, how do I do it?

Please let me know if you need any further information.

Any help will really be appreciated.

Thank you

Zee

    Hi Zeeshan,

Honestly, it may sound simple but there is no simple solution outside of read-only form. You will have to avoid workflow loops, you will have to figure out which if those opportunities to update when the field is changed on the account(and that may not be even possible without coding), etc. Personally, would not recommend it:)

    Hi Alex,

Thanks for taking time out to reply me.

One Account can have multiple opportunities but the Renewal date always have to be the same for all opportunities linked to the account and you can't have two or multiple opportunity open at one time for the same account.

let's say I have an Account "ABC", which has Renewal Date set to 21/04/2017. I have an opportunity linked to that account and once I close this opportunity I open another Opportunity for the next year,2018. Then I go to my account "ABC" and change the Renewal date field to be 21/04/2018.

All I want to achieve is have Renewal Date field in my opportunity  and edit it in Opportunity so I don't go back to Account and change the field.

    Regards,

    Zeeshan

BTW, you can also create a rollup field on one of the entities. It will still be read-only, though, so not that different from read-only view

    Hi Zeera,

I realize no end-user will ever like a read-only form.. but I'd still consider that option for a few reasons:

    - can you have more than one opportunity? How will that work if you had to copy field value?

    - workflows can easily run into a loop. One field is updated, that causes another update, and so in. Crm will stop this loop, and you'll get an error

    - modifiedby and modifiedon fields, which are often used for some kind of reporting, will get updated on all records involved in this(at the minimum, 1 account and 1 opportunity)

    Hi Saad,

Can you tell me how can I acheve this by creating a work flow?

Are you saying to have a Renewal Date field in Opportunity and another Renewal Date field in Accounts and create a workflow such that if one has a value, the other should have the same value?

    Can you please explain?

    Hi Scott,

    Thank you for your reply.

Yes, I tried that before putting up this question. but I would like to edit the same Renewal Date field from Accounts and Opportunity both.

    Any other suggestions?

Having the same data editable in two entities is troublesome because it can create race conditions and conflicts. Perhaps you could simply use a quick view form to show the field on the opportunity and ask users to edit it on the account. See technet.microsoft.com/.../dn531145.aspx

    Hope this helps!

You can use realtime workflow to achieve this.
