Can you associate Activities Across multiple Entities?

Hi,

I was just wondering whether, activities (emails, tasks, appointments etc) can be associated to multiple entities.

As an example, have all activity records added to the opportunity is handy in tracking what is being done to progress it along, but if an specific task designated to gain support from a specific contact should be associated in the activities feed for both the contact and the opportunity.

Is it only a one to one activity to entity association or can you have the same activity assigned to multiple entities?

Kind Regards

Mike

    Mike,

There is out of the box functionality that manages what I believe you need. For Phone Calls you can add multiple records to the call with lookup field. Same thing with the Appointment required and optional fields. Now there are only a handful of entities available there compared to the regarding lookup field which has just about all the entities, but the regarding only allows one record. Which is your dilemma I believe.

Here is an example of how to connect to multiple records without using the regarding. Maybe you talk to Susan who works for company B and Tom who works for company C but the three of you are talking about an opportunity for company A. If you put Susan and Tom in the call with lookup field (assumes they are in CRM) of a Phone Call activity and the opportunity in the regarding lookup field then that Phone Call will be displayed in the activity pane for Susan, company B (Susan's parent company), Tom, company C (Tom's parent company), the Opportunity and the parent account of the Opportunity. Please keep in mind if Susan moves to a new company that activity would no longer be associated with company B it will then be associate with which every company becomes her parent company.

Hopefully I have answered your question for you. If not, please reply with a follow up.

    Paige
