I wonder if anyone can assist or has experience with this issue bellow:
Problem: Workflow submission status
Only submit certain PO’s for workflow approval:
With regards to workflows, the change management must be active. When this happens you have to submit each purchase order for workflow regardless if it meets the condition or not. If the condition is met it will have to be approved by a user before it can be carried out. If the condition is not met, then the PO will be automatically approved after a few seconds later after submitting it for workflow.
What The client is requesting is that workflow must only be submitted when the condition to fire the approval process is met, i.e only press the "submit" to workflow if the condition is met, and if it is not met it must be automatically approved without the requirement of submitting it, in other words it must mimic the process if change management is not active for items that do not meet the conditions.
Out of the box this is not possible. The change management option is not related to products, but a setting on the parameters, vendors and the purchase order. You can allow override of change management active for vendors and individual purchase orders. You can consider a customization which sets the active change management on order header based on the contents of the PO lines. Then you might meet this requirement.
Thanks for the reply I appreciate I. I also suspected that it could not be done out the box ( was hoping it could be) , would the only other possible solution to this be to edit the code in the AOT environment?
Do you check the activation parameters in workflow?
You can set up conditions to determine if the workflow is running.
Yes I have done this. I set the condition where if change management is off then it must be activated. I didnt seem to get workflow active without the change management being activated even with that condition inside?
I had misunderstand your issue before.
If you want to system decide whether the workflow can be submitted, you need to do a customization.
But i think the standard feature to decide whether the workflow is running after submitting it. About the conditions judgement can be worked during the processing of workflow.
Why do they want that? Just donot want to click the "submit" button?
Yes! They dont want to click the submit button, thats all basically, except when the condition is met then they only want to click submit.
Thanks for the assistance!
You can consider the customization as I mentioned above briefly. On the other hand, they might also be lost when they do have two separate process flows of entering purchase orders. Probably they will forget submitting some purchase orders for approval.
Seems like you have multiple threads on same question. To expand on what Andre suggested, see below.
If you notice PurchTable Table contains a field "ChangeRequestRequired" and this derives value from change management (active on parameters and / or override on vendor master. What you can do is, on record creation (Insert, else it can create issue, let standard work as is once workflow is active / disabled) in purchase table/ line (depending upon which condition you want to check), override this property in the purchtable for a specific purchase order number and then it will dictate if the workflow button is visible or not.
