My client is using budget control in Project accounting module.
We cannot understand why in invoicing the PO, the system is throwing an error message that it exceeded the budget by certain amount but in fact there is still remaining budget.
The budget is per activity, category and transaction type.
Our computation of remaining budget is original budget plus revision less actual transaction and less committed cost.
We exported the data of actual transactions and committed cost and do the computation and found out that there is significant amount of remaining budget.
But when we click the project budget status in PO line, there is not enough remaining budget to cover the PO amount.
It seems that the system is doing a different computation for the computation of remaining budget.
How does the system compute for the remaining budget?
Pls help because it really affect the client's operation.
Could you provide a few screenshots of the budget setup?
In which AX system version do you face this issue?
If you are operating an older AX version then check LCS first for available hotfixes to ensure that the system behavior you experience is not because of a system bug.
In case you cannot find anything, post some supporting screenprint that illustrate your configuration and the problem/error message.
Many thanks and best regards,
Thanks for replying to my email.
The client is using AX2012 R3 with kernel version and application version of 6.3.5000.138.
Upon checking, all the hotfixes related to budget are already installed.
For your info, pls find attached Project budget setup under Project accounting parameters.
Attached also is the budget setup for specific project in question.
Thanks.Project setup in parameters.docx
Additional screenshot showing the budget exceeded but in fact there is still remaining big amount in budget.
Good Morning marypeace,
Many thanks for the screenprints!
If I read them correctly then I would say that AX is not doing something wrong.
The total amount shown in the screens exceed the available budget, which triggers the error that you describe.
The main question is how you calculated your remaining budget of approx. 900000.
Can you double check your calculation and try to reconcile it with the amounts that you see in the budget forms?
My computation for the remaining budget is original budget plus new budget revision less actual transactions less committed cost.
I exported the data in excel per activity, category and transaction type and manually compute the remaining budget.
Is it the right thing to compute for the remaining budget?
Does the system compute the remaining budget on activity, category and transaction type level?
You are running AX2012 R3 CU12, which was published November 2016.
If I have a look at LCS I can see a couple of hotfixes that were released later on.
Do you know if they have been installed?
Thanks for your reply.
We will check on other hotfixes.
If none seems to feed, I would recommend either opening a new support request or discussing your calculation with the calculation that AX makes with a developer to get things fixed quickly. Best regards, Ludwig
I will refer this to our developer.
Once your developer had a look and has resolved the issue, please come back to the forum and keep us updated so that also other community members that run into similar issues get an idea how to fix this.
Can you please run the project budget balance inquiry from the project, filtering by category and send us the result? this will give you and us more information to resolve the issue. Thanks
