New to GP 2013 R2 - Purchase Requisitions!!

NOTE: The new Purchase Requisitions feature was built to integrate with Encumbrance Management.  This feature is not designed to function with Purchase Order Commitments. 

In Microsoft Dynamics GP2013 R2, users have ability to enter Purchase Requisitions and have it tie into other functionality within Microsoft Dynamics GP.

The Purchase Requisition can be routed through the new Workflow 2.0 functionality. You will be able to order Inventory or Non-Inventoried items. You will be able to have them purchased directly in Microsoft Dynamics GP and linked to the Purchase Order. You will be able to drill back on the Purchase Order Link and view the Purchase Requisition.

                                           

When Encumbrance Management is enabled, the budget is checked for the requisition line account number and if there isn’t budget available, a warning is given to the requester. A reviewer can later review and approve or cancel the requisition line.

The Purchasing Requester can enter transaction dimension codes for the general ledger account using Analytical Accounting.

Navigation is streamlined for the requester to see a requisition status or enter a requisition.  And because it’s part of Microsoft Dynamics GP, the requisition can be routed through a workflow process you create using new workflow functionality. You will only see requisitions you enter.  Purchase Requisition is unique because less information is required for data entry: requisition number, date and item description.

When Requisitions were designed there was a few setup items created for a Procurement App to release in the future of the product.  Those items can be found under  Procurement Featured Items (POP Setup > Requisition Setup > Procurement Recommended Items) and in Item Maintenance Options - In this window you will now see “Include in Catalog” and Procurement.  Currently these items are not being used in the shipping Dynamics GP product.

    Hi Terry,

    How do we setup workflow similar to Business Portal so we can define who the requester's approver is based on a dollar level?  Is there any administrator or end user documentation with a bit more detail than the Word doc available on this blog available in a downloadable document?

    I am doing a test upgrade from GP10 to GP2015 for a customer that uses purchase requisitions in business portal.  Purchase requisitions are now built into GP and I see the new tables in each GP company for requisitions.  However, I don't see any way to convert/upgrade the existing business portal requisitions to the new GP2015 data tables.  Is there a data conversion/upgrade for business portal requisition tables to GP2015 data tables?

    We used PO Commitments and Business Portal in GP2010; we then upgraded to GP2013 R2 and were told we could no longer use Business Portal and PO Commitments. They said we had to use and implement Encumbrance Management, however, it has proven to be a horrible process and we cannot get it to work right. We are a small organization and loved using PO Commitments, as it was simple. Plus, our Limited users are not able to approve requisitions because they do not have access to the Encumbrance Requisition Review window as Limited users. This is reported to Microsoft and is noted as a Quality Issue: CR85748. My questions is, how are other users who used PO Commitments functioning in GP 2013 R2? Are they using Business Portal 6.1?

    Hi Terry,

    This is more workflow related I believe but in the Business Portal version, requisitioners could route their requisitions to a specific user and have the ability to access a drop down list which was still based on the hierarchy set up. With the new Workflow, is this still possible?

    Any chance I can do a table relationship between the Requisition and the PO so I can get the Requisition # to print on the PO?  AP and Purchasing needs to be able to link the two documents.  If so, would you be able to point me in the right direction to get the link done for the Blanket PO form in Report Writer?

    Hi all, I want to answer a couple of the comments.  Terry is correct, requisition entry is a limited user role.  

    Purchase Requisitions initial release is with GP2013 R2 and it is not currently integrated with Project Accounting.  We have plans to add this integration in the future.  

    There isn't a default report for Purchase Requisitions.  If you are using SSRS reports, you can list one on the requisition entry window for the users to print.

    The PO Number is listed on the requisition, but is not sent or e-mailed to the requester when the requisition is purchased, but I'll note that as a suggestion.
