Microsoft Dynamics 365 Advanced Finds 101: How to Share Your Saved Views
Our series about Advanced Finds continues! This week, we are explaining how you can share your Saved Views in Microsoft Dynamics 365 to improve collaborations and connections between your team members.
So far, you’ve learned:
To share your Saved Views, go to Advanced Find in your Microsoft Dynamics 365 environment, and click on “Saved Views” in the top menu bar of your pop-up screen. (If you’re unsure how to do this or where we’re at, please refer to the hyperlinked posts listed above for a quick tutorial.)

When you click on “Saved Views,” you will see all of the Views you’ve created and saved, as well as any Views that other Users have created and shared with you. For the purpose of this blog series, we have one saved View to work with and show you.
When you click on this view (not click on, but select), you have access to a few buttons in your top menu bar that gives you several options.

If you selected a view and click “Assign Saved Views,” you will assign your view to another user. However, if you don’t want to lose access to it, simply click the “Share” button instead.

Once you click “Share,” a pop-up will appear in the middle of your screen. Here, you can add users or teams to this view.
When you select a team or user, you can decide which permissions to give them when you share a view.

For the purpose of this training series, and moving forward, the best permission set to give users or teams access to is “Read” and “Share.”
This way, the users or teams you share your view with can read and share the view with others or even unshare it with themselves if they feel they no longer need it.
“Write” permissions would allow them to edit the view, “Delete” permissions would allow them to delete the view from themselves and you, and “Assign” would allow them to reassign the view.
Keep in mind that if you do give “Write” permissions and they do edit the view, this edits the view and not just for them, but for anyone that view is shared with including you.
As the owner and creator of the view, that’s why you should be hesitant as to give these permissions and why we recommend only giving them “Read” and “Share” permissions.
Once you’ve given them the right permissions, click “Share.”

And that’s it – you’ve shared your view!
For the final post in this series, next week, we will explain how to export your data into Excel Spreadsheets.
